Position Overview
Lifetime Arts seeks a relational, mission-driven professional to support outreach and engagement with new organizations and audiences interested in engaging Lifetime Arts’ services to achieve their goals. Reporting to the Director of External Affairs, this part-time (.4 FTE) role focuses on building relationships, increasing awareness of creative aging, and supporting the development of new program opportunities, including contracted services.
This is not a traditional sales role. Success in this position is rooted in cultivating authentic relationships, helping organizations understand the value of creative aging, and identifying where our programs can meaningfully align with their goals. Some opportunities may develop quickly into contracted work, while others may evolve over time through sustained engagement.
The External Engagement Coordinator will work closely with the Director of External Affairs, the Marketing & Communications Manager, and Program Team to identify, engage, and nurture prospective partners. They will coordinate initial conversations and support the proposal process through to contract or grant applications. This individual must be a confident self-starter who can independently move initiatives forward while collaborating closely with internal team members.
Key Responsibilities
New Audience Development + Cultivation
- Identify, research, and prioritize prospective organizations, and maintain targeted outreach lists across key older adult–serving sectors (e.g., senior living, community-based organizations, healthcare, arts and culture, libraries, etc.)
- Conduct outreach via email, phone, virtual meetings, and LinkedIn to introduce Lifetime Arts’ work
- Build and maintain authentic relationships with prospective partners, with a focus on trust-building and long-term engagement
- Clearly communicate Lifetime Arts’ approach, values, and program offerings to diverse audiences
- Represent Lifetime Arts externally with warmth, clarity, and alignment to our people-first values
- Identify how Lifetime Arts services can best support prospective partner goals, ensuring a percentage of these conversations lead to mutually beneficial projects and contracts.
- Identify opportunities that may benefit from deeper engagement and coordinate handoff to senior staff as appropriate
- Steward the proposal process in collaboration with the program team, leading up to the contract
Pipeline & Systems Management
- Manage lead generation, sales, and contracting pipelines in HubSpot, ensuring accurate and timely recordkeeping
- Utilize HubSpot tools and LinkedIn Sales Navigator to support strategic outreach
- Maintain detailed notes and tracking systems to ensure continuity of relationship-building efforts
- Manage general inquiries email inbox
Internal Collaboration & Planning
- Collaborate with the Director of External Affairs and Marketing & Communications Manager to refine outreach strategies and ensure consistency in messaging and audience targeting
- Facilitate a weekly 30-minute new business meeting to share updates on promising opportunities and review pipelines
- Attend a weekly 30-minute External Affairs planning meeting (day determined collaboratively)
- Engage in additional ad hoc meetings as needed

Qualifications
Required:
- Experience in business development, partnership development, or outreach roles
- Comfort using CRM systems, project management apps, and administrative platforms
- Ability to work independently and manage time effectively within a part-time schedule
- Must have or be willing to develop a LinkedIn profile, and be willing to communicate with people through LinkedIn
- This role requires regular calls and video meetings, reliable internet, a computer/laptop with a camera and microphone, and a quiet place to work from are necessary.
- The candidate should be comfortable learning and using Lifetime Arts’ administrative systems, including HubSpot, Asana, Google Workspace, and outreach tools such as LinkedIn Navigator and Cleverly.
The qualifications below will be an asset but are not required:
- Experience in or existing networks within aging services, arts and culture, arts education, or related sectors; nonprofit experience
- Proficiency with HubSpot sales hub
- Experience using LinkedIn Sales Navigator or similar outreach tools
- Digital Marketing knowledge/experience
Hours + Schedule
16 hours Per week. Consistent weekly schedule, to be mutually agreed upon by the candidate and Director of External Affairs, within Eastern Time business hours (Monday–Thursday 9am–6pm, Friday 9am–2pm).
