Position Summary:
The Legal Department of UJA-Federation of New York is seeking an experienced legal operations coordinator who will spend about 85% of time on legal assistance and project management and 15% of time on administrative assistance.
Major Responsibilities:
Legal Assistance and Project Management
- Coordinate projects and tasks for the Legal Department, including identifying action items, task management, and follow-up
- Oversee the complete contract lifecycle, including intake, assignment to attorneys, execution, renewal, and termination
- Assist attorneys with legal matters including drafting, proofreading, editing, and circulating legal documents, emails, letters and other communications
- Assist with corporate governance, including recordkeeping and preparation of bound volumes for Board resolutions and meeting minutes
- Assist with compliance, such as circulating and receiving annual conflict of interest disclosure forms for attorney review
- Organize and manage the Department’s shared drives, digital file room, and other information repositories
Administrative Assistance
- Provide day-to-day assistance to the Chief Legal & Compliance Officer and other attorneys
- Coordinate the vendor procurement process
- Monitor risk management review of new vendors and grantees
- Manage the Legal budget and tracking, support the Accounting team’s accrual process, and coordinate with outside counsel on billing
Required Skills and Qualifications:
- Bachelor’s degree
- 1+ years' experience in legal operations, or as a legal assistant/paralegal
- Proficiency in all Microsoft Office applications; ability to learn proprietary databases
- Detail-oriented with outstanding organizational skills
- Ability to work on one’s own, multitask, and meet deadlines
- Excellent verbal and written communication skills
- Ability to proactively anticipate and resolve problems
- Teamwork and customer service mindset
Additional Preferred Skills and Experience:
- Experience with legal operations systems
- Experience managing a contract lifecycle management platform

Salary Information
The salary range for this role is $55,000-$60,000, commensurate with experience and qualifications listed above.
Reporting Line:
This role reports to the Chief Legal and Compliance Officer and is a hybrid position, with a set three days/week in office.

We offer a generous number of vacation days and have the Jewish holidays off as well. Fridays our offices close early (October to March at 3:00 pm and April to September at 4:00 pm). All so you can relax and recharge.
