    Position Title: Development and Operations Coordinator

    Reports To: Head of US Operations & Development

    Works Closely With: Senior Development Manager; Development Manager, Donor Engagement; international colleagues across fundraising, sponsorship, and finance/admin

    About Cambodian Children’s Fund

    Cambodian Children’s Fund (CCF) is a nonprofit organization working to help children and families in Cambodia move beyond poverty through a holistic model of education, healthcare, family support, community outreach, and leadership development.

    Founded in 2004, CCF now supports nearly 2,000 students and more than 15,000 community members annually through integrated programs that address the barriers that keep children out of school and families trapped in crisis. Our work is supported through a mix of major gifts, sponsorship, annual giving, events, foundations, and other donor-led funding streams.

    The US office is a small, evolving team. We value flexibility, reliability, strong systems discipline, and a willingness to contribute across functions to help the team deliver high-quality work and strong supporter experience.

    Position Summary

    The Development and Operations Coordinator provides the operational backbone for the US office across development administration, donor and sponsorship support, gift processing coordination, event logistics, CRM/data support, and selected office and HR/benefits administration.

    This role is designed for someone who is highly organized, detail-oriented, systems-capable, and dependable. The person in this role will help ensure that donor and sponsor inquiries are handled promptly, gifts are processed accurately, events are well supported, records are kept current, and routine operational functions are handled efficiently.

    This role is a support and coordination role that helps create the structure, responsiveness, and administrative discipline that allow donor-facing staff to focus on fundraising and relationship management.

    Because the US office is small, this role requires flexibility, good judgment, and comfort working across multiple platforms and workflows.

    Key Responsibilities

    Development Operations and Gift Administration

    • Support processing and recording of donations received by check, wire, online platform, stock transfer, donor-advised fund, and other giving channels
    • Coordinate gift administration tasks across Salesforce and related systems to help ensure gifts are coded, tracked, and documented accurately
    • Support routine reconciliation and tracking of donations, including matching gifts and workplace giving platforms such as Benevity
    • Maintain accurate donor records, campaign attribution, relationship links, and administrative notes in Salesforce and related systems
    • Support administrative follow-up for FreeWill, Raisely, Chariot, ActiveCampaign, and other development systems as assigned
    • Monitor shared inboxes and donor-admin workflows and route or triage inquiries appropriately
    • Help prepare acknowledgment and receipt-related materials and ensure donor-facing administrative follow-up is timely and accurate

    Child Sponsorship Administration Support

    • Support administrative aspects of sponsorship, including sponsor communication coordination, sponsor record updates, payment follow-up, and coordination with relevant colleagues in Phnom Penh
    • Help maintain accurate sponsorship-related records and communication tracking
    • Support administrative continuity and timely handling of child sponsorship records, payment updates, and sponsor-related inquiries by routing them to the appropriate relationship owner.

    Event Administration and Logistics

    • Support event administration, including RSVP tracking, guest logistics, materials coordination, vendor follow-up, print/mail support, and other related tasks
    • Help prepare event-related lists, materials, and tracking documents
    • Support post-event administrative follow-up and data cleanup

    Office and Administrative Support

    • Manage mail intake, scanning, routing, and filing as needed
    • Coordinate printing, shipping, and mailing of donor reports, invitations, and related materials
    • Provide scheduling, travel, and administrative coordination support as assigned
    • Help maintain organized files, templates, process documentation, and records
    • Support office responsiveness by helping ensure requests and routine processes do not stall
    • Support tracking and timely completion of recurring state registration filings and routine reporting requirements as assigned.

    Selected HR / Benefits / Operations Support

    • Support selected recurring administrative tasks related to benefits, onboarding, payroll workflows, internal records, and routine compliance tracking as assigned.
    • Help maintain internal records, forms, and process documentation
    • Support continuity during staff transitions by documenting and helping train handoff of recurring processes

    General

    • Work collaboratively and professionally across the US office and with international colleagues
    • Contribute to continuous improvement of systems, workflows, and administrative processes
    • Demonstrate discretion, reliability, and strong attention to detail in handling donor, staff, and financial information
    • Perform other related duties as assigned

    • Able to work some evenings for scheduled calls with international teams

    Available to travel and work some weekends for various events and conferences

    Key Selection Criteria

    • Associate’s or bachelor’s degree preferred; equivalent relevant experience will be considered
    • Minimum of 3–5 years of relevant experience in administration, development operations, nonprofit support, donor services, CRM/data support, office coordination, or related fields
    • Strong organizational skills and attention to detail
    • Demonstrated ability to manage multiple tasks and deadlines reliably in a small-team environment
    • Experience supporting gift processing, donor administration, sponsorship administration, office administration, or similar workflows
    • Experience with Salesforce strongly preferred
    • Comfort working across multiple systems and platforms; experience with Salesforce and familiarity with common fundraising, CRM, marketing, reporting, or workplace-giving tools is preferred.
    • Strong written communication skills and professional judgment in donor- and supporter-facing administrative communication
    • Ability to maintain accurate records and follow established processes while also helping improve them over time
    • Experience supporting events, logistics, or donor-admin coordination is valuable
    • Experience with nonprofit office administration, benefits support, or HR/process coordination is a plus
    • Ability to handle confidential information with discretion
    • Willingness to learn, adapt, and contribute across functions
