    POSITION SUMMARY

    The Operations Officer will provide support to the Operations Department, focusing on administration, human resources, office management, IT coordination, and events and logistics management for various tasks and projects. This role is crucial in ensuring the smooth and efficient functioning of Pure Earth's operational activities, and in ensuring Pure Earth is prepared for growth and expansion. This role requires a detail-oriented individual who can respond to critical, time sensitive issues, while continuing to drive forward and deliver on longer-term projects.

    While this individual will support both the Vice President of Operations and the HR Manager, this individual will report to the HR Manager.

    This will include, but is not limited to, the following projects/tasks:

    Operations Support (30%)

    • Assist in supporting operations in existing countries, and in preparing for operations in new countries, including administrative and logistical groundwork in coordination with Programs department.
    • Support the onboarding process for new hires, focusing on operational setup.
    • Support development, tracking and renewals of contracts and grants with HQ and overseas consultants, partners and service providers/vendors.

    Human Resources Support (25%)

    • Assist with organizing employee engagement activities, including scheduling, venue coordination, and material preparation.
    • Provide administrative support to the HR function, including data entry, creating presentations, and preparing HR-related correspondence.
    • Facilitate scheduling hiring candidates for interviews and assessments.
    • Support the onboarding process for new hires and assist with offboarding procedures for departing employees.
    • Support in collaboration with various departments on HR-related matters.
    • Support drafting, refinement and implementation of Standard Operating Procedures (SOPs) and policy documents for global rollout.

    IT Coordination (25%)

    • Provide first-line IT support to global staff, including submitting tickets for email or platform assistance, and basic troubleshooting for hardware and software issues.
    • Coordinate with external IT support provider for day to day as well as complex technical issues and system maintenance.
    • Maintain an accurate inventory of IT equipment (laptops, monitors, etc.) in coordination with country offices and IT vendors.
    • Assist with the setup and configuration of new overseas workstations, including hardware and software installation and platform access, ensure new HQ workstation set up is complete.

    Events & Logistics Management (10%)

    • Assist with planning, organizing, and manage logistics for relevant department events, meetings, and retreats (e.g., Pure Earth’s 2025 retreat), including coordinating lodging, travel, visas, side trips, venue selection, catering, and other necessary arrangements, in close coordination with relevant teams and leadership.
    • Assist with developing agendas, and preparing relevant documents and materials for organizational gatherings, HR events, training sessions, and employee engagement activities.

    Office Management (5%)

    • Manage kitchen and office supplies inventory and coordinate procurement.
    • Coordinate maintenance and repairs for office equipment and facilities, ensuring a functional and safe work environment.
    • Oversee general office cleanliness and organization.
    • Liaise with office vendors (e.g., cleaning services, utilities, security) to ensure service quality.
    • Manage incoming and outgoing mail and packages

    Other (5%)

    • Undertake other projects and tasks as directed by the Supervisor or the VP Operations.

    QUALIFICATIONS AND EXPERIENCE

    • Bachelor’s degree in a relevant area required (business administration or human resources preferred, environmental health, development, international studies)
    • 3-7 years of relevant experience in operations, human resources or IT support required
    • Fluency in English required
    • Work authorization in the USA required
    • Fluency in Spanish, Portuguese, Hindi or other languages a plus
    • Experience working in an international NGOs preferred
    • Must be detail oriented, highly organized, able to work in a fast-paced environment, and able to balance the need to respond to urgent requests while continuing to work on longer-term projects.

    PAY TRANSPARENCY:

    This is a full-time, non-exempt, on-site position with a compensation range of $73,000 - $90,000 (L3). This role is eligible for benefits including medical, dental, and vision benefits, paid holidays, paid sick time, paid parental leave, 401(k) plan participation, and life and disability insurance.
