About Community Solutions for Health Equity (CSHE)
Community Solutions for Health Equity (CSHE) is the National Program Office for the CSHE program funded by the Robert Wood Johnson Foundation (RWJF). CSHE is a collaborative of 11 community-based organizations across the United States working to address healthcare system barriers and practices that perpetuate health inequities in their local communities.
The CSHE program elevates community histories and solutions, placing culture and community-driven priorities at the center of health and wellness efforts. By shifting mindsets, behaviors, and conditions, CSHE seeks to influence systemic changes in healthcare to promote community wellness and health justice.
CSHE partners with multicultural communities to ignite transformative change by uplifting lived experience, cultural wisdom, and community-defined wellness. We amplify local community power, strengthen leadership capacity, and equip partners with the tools and resources to activate systems transformation to advance wellness and justice for all people. Position Summary
The EA serves as a primary administrative partner to the Executive Director and Deputy Director of strategy and programs, helping both leaders effectively manage priorities, commitments, information, schedules, and cross-functional work, providing targeted administrative and coordination support for organization-wide leadership priorities and cross-functional work.
Working collaboratively across the functions of the leadership team, the EA anticipates needs, maintains visibility across shared priorities, and individual priorities, coordinates information, deliverables and follow-through, and helps ensure commitments move from conversation to completion. While working collaboratively across the leadership team, the role’s primary executive and administrative support responsibilities remain primarily with the Executive Director and Deputy Director of Strategy and Programs
A successful EA will become a trusted and reliable partner to CSHE's leadership and broader team, bringing exceptional organization, confidentiality, sound judgment, discretion, leadership initiative, and a strong sense of responsibility. The EA will serve as a trusted partner to leadership, ensuring that commitments, meetings, priorities, decisions, and action items are thoughtfully anticipated, well organized, and followed through to completion. This role will strengthen cross-functional coordination by ensuring that the right information reaches the right people at the right time, supporting clarity, accountability, and alignment across CSHE.
Success in this role requires a high degree of professionalism, relational intelligence, stewardship, cultural humility, discretion, and care. They will build and maintain strong working relationships with team members, funders, funded partners, NAC members, committee members, contractors, and the broader CSHE community. They will bring a welcoming, responsive, and solutions-oriented approach to every interaction while representing CSHE with integrity and care.
This is a fully remote position within the United States, with occasional travel required for team-building events, partner convenings, and other organizational activities.
Core Duties / Responsibilities
Executive Support & Leadership Coordination
- Provide high-level executive and administrative support to the Executive Director and Deputy Director of Strategy and Programs, helping both leaders manage priorities, commitments, information, and time effectively..
- Own and manage complex calendars for the Executive Director and Deputy Director, proactively anticipating conflicts, deadlines, preparation needs, travel, and competing demands, and resolving issues before they become barriers.
- Draft, edit, proofread, and format executive correspondence, presentations, reports, meeting materials, and other communications for internal and external audiences.
- Manage executive travel for the Executive Director and Deputy Director from planning through completion, including transportation, lodging, itineraries, meeting logistics, documentation, and expense reconciliation.
- Serve as a trusted administrative partner and liaison to both leaders, maintaining visibility across their priorities and ensuring communications, commitments, and deliverables remain timely and on track.
- Provide targeted administrative and coordination support to both the Executive Director and the Deputy Director of Strategy & Programs for organization-wide strategic priorities, senior leadership initiatives, and cross-functional work.
- Strengthen coordination and progress - between the Executive Directorand Deputy Director of Strategy & Programs by tracking shared priorities, decisions, dependencies, commitments, and next steps and facilitating the flow of information between leadership and CSHE teams.
- Prepare for and support designated leadership, committee, and external meetings, including agenda development, briefing and background materials, meeting coordination, documentation of decisions and action items, and proactive follow-through; provide thought partnership and preparation support to the Executive Director as needed.
- Exercise sound judgment in navigating competing leadership priorities, determining what can be handled independently, what requires coordination, and what should be elevated, while maintaining strict confidentiality and discretion.
- Prepare briefing materials, background information, presentations, decision summaries, and follow-up correspondence for internal and external meetings led or attended by the Executive leadership team .
- Coordinate the collection, organization, and routing of information needed for grant reports, evaluation activities, learning products, funder updates, presentations, and other organizational deliverables.
Operations & Administrative Management
- Partner closely with the Operations Director to strengthen administrative coordination of systems, processes, and recurring workflows that support executive leadership team and organizational operations.
- Maintain effective systems for tracking organizational commitments, deadlines, decisions, records, and follow-up; proactively identify gaps and implement practical improvements to workflows and administrative processes.
- Own and maintain organized and accessible organizational records, including contacts and email distribution lists, contracts, agreements, policies, program documentation, and other organizational materials.
- Works closely with the operations team to manage and support financial administrative processes, including invoices, honoraria, reimbursements and credit card reconciliations.
- Partners with the operations coordinator to plan and arrange travel and logistics for organizational and leadership activities including accommodations, itineraries, catering, and other arrangements.
- Handle administrative matters independently when appropriate, bringing leadership clear context, options, and recommendations when decisions or escalation are needed.
Cross-Functional & Organizational Support
- Serve as an administrative connector across CSHE, helping to strengthen coordination and communication between the executive leadership team , operations, programming, communications, contractors, funded partners, and others.
- Support executive team with with timely communication and access to relevant information, materials, meetings, deadlines, and organizational commitments for funded partners, committee members, contractors, and other community members Build and maintain positive relationships throughout the CSHE community, representing the organizational culture of care, responsiveness, professionalism, and cultural humility.
- Provide flexible administrative support to the broader CSHE team based on organizational priorities and capacity, while maintaining primary responsibility for the executive leadership team.
- Take ownership of special projects and emerging administrative priorities, bringing organization, initiative, follow-through, and problem-solving to work as organizational needs evolve.
Skills, Capabilities and Attributes
Required
- At least 5 years of progressively responsible executive administrative, executive assistant, operations, or comparable experience, including substantial experience directly supporting executives or senior organizational leaders.
- Ability to work Monday to Friday, 9 am to 5 pm, eastern time.
- Experience working with a national program with partnerships across the US.
- Demonstrated success managing complex executive calendars, competing priorities, travel, meetings, correspondence, and follow-through with a high degree of independence.
- Strong executive-support instincts and judgment, with the ability to anticipate needs, identify potential issues, manage competing priorities, take appropriate action independently, and recognize when leadership attention is needed.
- Demonstrated ability to support and coordinate across multiple senior leaders with differing areas of responsibility while maintaining appropriate boundaries and strong follow-through.
- Excellent written and verbal communication, relationship-building, and interpersonal skills, with the ability to work effectively across roles, working styles, cultures, and levels of authority.
- Proven ability to handle confidential and sensitive information with discretion, maturity, and professionalism.
- Ability to thrive in a dynamic, fully remote environment with a high degree of initiative, adaptability, responsiveness, and accountability.
- High proficiency with Google Workspace and Zoom and strong proficiency with project management, spreadsheet, calendar, and communication platforms; experience with Asana, Microsoft Office/Excel, and Outlook is valued.
- Demonstrated cultural humility and ability to work respectfully and effectively with community-based organizations and people from diverse cultural and professional backgrounds.
- Ability to travel periodically for organizational meetings, program events, partner convenings, and team retreats, with reliable and secure internet access for full-time remote work.
Preferred
- Experience providing executive support to an Executive Director, CEO, COO, or comparable senior leader.
- Experience within nonprofit, philanthropic, community-based, health equity, or social-impact organizations, particularly those involving distributed teams, coalitions, or multi-partner initiatives.
- Experience supporting operational functions such as contracts, vendor management, financial administration, organizational systems, and complex meetings or convenings.
- Bilingual proficiency in Spanish, verbal and written.
