    Purpose of the Job

    The Finance Coordinator supports the Senior Finance Manager in managing the organization’s financial data, ensuring compliance with fiscal policies and procedures, and coordinating the preparation and delivery of financial information. This role requires a high level of confidentiality, strong attention to detail, and the ability to complete responsibilities accurately and on schedule. The position follows a hybrid work model and requires in- office presence two to three days per week.

    Major Duties and Responsibilities

    Key areas of responsibility include:

    • Works independently on routine and assigned bookkeeping and accounting tasks.
    • Compiles all accounts payables and receivables, recording transactions and accruals, and preparing weekly payments of invoices.
    • Reconcile accounts receivable, accounts payable, bank accounts, and other financial accounts to ensure accuracy and resolve discrepancies.
    • Review Accounts Payable, Accounts Receivable, and other General Ledger transactions to maintain the accuracy and integrity of the General Ledger; prepare and post monthly closing entries.
    • Retrieve mail from the organization's private mailbox twice a week and record checks in finance log.
    • Prepares reconciliations of bank and investment accounts performed by the team.
    • Support the Fractional CFO and Senior Manager Finance with the annual audit by preparing and providing necessary schedules, documentation, and other requested information.
    • Assist with the preparation of the annual Form 990 and NYS CHAR500 by compiling the required schedules and supporting materials.
    • Review payroll information and assist with payroll process oversight as needed.
    • Support the development, monitoring, and management of organizational budgets and assist with financial forecasting.
    • Conduct finance orientation sessions for new employees. Answers employees’ questions for submitting expense reports/ credit card process.
    • Prepare and submit quarterly lobbying reports in accordance with regulatory requirements.
    • Provide assistance on other finance-related projects and perform analytical duties as assigned, based on departmental and organizational needs.
    • Reconciles credit card transactions on a monthly basis to General Ledger. Reviews transactions for completeness including receipts.

    Required Knowledge, Skill, and Experience

    • Bachelor’s degree in accounting, finance, or related discipline required.
    • Three to five years of accounting experience required. Nonprofit preferred.
    • Excellent organizational skills with attention to detail. Strong problem-solving and analytical skills.
    • Ability to always maintain confidentiality and diplomacy. Extremely high reliability and integrity.
    • Excellent written and verbal communication skills.
    • Proficient in Sage Intacct Accounting or similar software; Bill.com, and Microsoft Office Suite.
