Summary:
The Registrar oversees the full cycle of registration for programs, classes, and retreats, ensuring excellent customer service and accurate administrative support. This role is responsible for participant communications, program setup, registration systems, payments, scholarships, and reporting. The Registrar collaborates cross-departmentally, working closely with teachers and staff, to provide a seamless registration experience and support program logistics. Accurate data keeping and maintaining reliable records is a critical part of this role. This position is part of a 5 person team consisting of 4 Team Registrars and 1 Department Manager.
Key Responsibilities:
- Responsible for all aspects of program registration, including system setup, occupancy tracking, waitlists, and participant communications.
- Provide responsive, professional, and compassionate customer support via phone and email, handling inquiries, registration issues, cancellations, and refunds.
- Process payments and scholarships accurately and on time.
- Prepare and maintain accurate rosters, reports, and program logistics for staff and teachers.
- Maintain accuracy of data entry and registration records in the registration system.
- Support training of temporary help or volunteers, as needed.
- Assist in creating and maintaining standard operating procedures when required.
- Collaborate cross-departmentally to ensure smooth program operations.
- Support online and on-site program logistics as needed.
Qualifications:
- Willingness to work a Monday - Friday schedule with split shifts on Mondays 2–3 times per month to support evening programs.
- Some holiday work may be required due to retreat scheduling.
- 2 days / week onsite required
- 2+ years of customer service experience
- Ability to communicate clearly and professionally with a wide range of people and backgrounds.
- Strong organizational skills with the ability to manage details over multiple projects accurately.
- Consistently produce accurate, thorough, and high-quality work.
- Tech-savvy with high proficiency in registration systems (ideally Retreat Guru), Microsoft Office, and Google Suite; experience with Asana, Slack, and Zoom strongly preferred.
- Experience with scholarship allocations, payment systems, and data management.
- Background or interest in mindfulness meditation and Buddhist teachings.
- Understanding of Spirit Rock’s values

Employment Status: Full time (37.5 hours/week) / non-exempt
Schedule: 5 days/week; Monday - Friday schedule with split shifts on Mondays 2–3 times per month to support evening programs. Some holiday work may be required due to retreat scheduling. 2 days per week on site required.
Compensation: $28-$32 / hr
