    POSITION: Operations Manager

    1.0 FTE (full-time exempt)

    Bay Area Community Land Trust (BACLT) is seeking a full-time Operations Manager to join our staff team based in Berkeley, CA. The ideal candidate will resonate with BACLT’s mission, vision and values, and be committed to furthering BACLT’s work to create and support affordable, resident-focused communities. Like all staff roles at BACLT, the Operations Manager’s responsibilities will involve a mix of independent and collaborative work, and a flexible, cooperative approach to the position is critical to meet the multifaceted and evolving needs of the organization and our resident members.

    CORE RESPONSIBILITIES

    The Operations Manager (OM) is responsible for a range of operational, administrative, and communications functions as part of a highly collaborative staff team. The OM supports day-to-day operations of BACLT and the implementation of asset management strategies at BACLT properties, including assisting with ongoing efforts to ensure that all properties achieve their best financial and physical conditions and that all Local, State, and Federal agency regulation requirements are met. The OM reports to the Cooperative Stewardship Director and works closely with other BACLT staff and other stakeholders as needed. The OM is responsible for the following shared areas of work:

    Property Asset Management & Project Support (~45%)

    • Oversee the maintaining of monthly rent rolls, including coordinating rent collection, deposits, rent notices, and resident accounts, until residents are self-managing their own rent rolls
    • Support management and tracking of property income and expenses until residents are self-managing their properties
    • Lead the process for advertising and filling vacancies as needed, including affirmative marketing communications, coordinating open house events, and administering the application process for prospective residents
    • Manage addressing property maintenance needs and maintenance projects
    • Support financial and compliance reporting for all properties

    Community Engagement and Relationships (~25%)

    • Lead development of organizational communications, including emails and marketing campaigns to advertise vacancies, promoting the BACLT Annual Membership Meeting and board elections, monthly newsletters, creating and posting important content to BACLT’s social media, and other community announcements
    • Manage event coordination and related tasks including preparing printed materials, coordinating event food and supplies, setup and cleanup, Zoom and other technology support for hybrid meetings, note taking, photography, and other tasks as needed
    • Manage new communications projects as needed, including press events, video projects, social media education or campaigns, and resident spotlights and interviews
    • Develop positive working relationships with staff team members and a variety of stakeholders including BACLT residents through collaboration, proactive communication, and empathy
    • Support with member and resident communication when needed, including phone calls for membership renewals, invitations to events and member meetings, and fielding phone and email communications
    • Participate in BACLT education and advocacy efforts as needed with the support of other BACLT staff

    Welfare Tax Exemptions (~10%)

    • Support initial and annual Welfare Tax Exemption filings and compliance in January and February
    • Support completion of Annual Household Income Re-certifications of BACLT residents with support from other staff (generally August-December)

    General Administration (~20%)

    • Support the maintaining and ongoing development of asset management database and documentation systems
    • Maintain resident information database and paper files, including all move-in/move-out steps and procedures
    • Update information on BACLT’s website as needed, including but not limited to: vacancy ads, Orientation Session dates and registration links, board and staff member profiles, and updating other content across all website pages
    • Support fundraising efforts, including fundraising campaigns, event coordination, and related communications
    • Attend staff and committee meetings for collaborative input and cross-training

    WORKING CONDITIONS

    • Work primarily takes place in the BACLT office, located in the Strawberry Creek Design Center in Berkeley, CA. There are cafes, restaurants, and parks in easy walking distance from the office.
      • Accessibility note: the office is up two flights of stairs
    • BACLT offers a hybrid work schedule with a minimum 24 hours per week in-office during business hours (9:00am-5:00pm) and up to 16 hours of remote work per week
    • Must be willing to work occasional irregular hours as needed, including evenings and weekends
    • Occasional driving onsite to BACLT properties or event locations (mileage reimbursed)
    • Use of a personal smartphone for shared office phone line (monthly phone stipend provided)

    SALARY & BENEFITS

    • Salary range: $75,000-$82,000 (commensurate with experience)
    • BACLT offers 14 paid holidays, vacation and sick-leave, and health, dental, and vision benefits for employee and dependents (80%-20% cost share).

    DESIRED QUALIFICATIONS

    • At least 5 years of experience working in a nonprofit, affordable housing, cooperative housing, community development, or related mission-driven organization
    • Working knowledge of property or asset management operations, including some combination of rent collection, vacancy marketing and leasing, maintenance coordination, and financial or compliance tracking
    • Familiarity with, or strong interest in learning, the community land trust and/or housing cooperative model
    • Strong written and verbal communication skills, with the ability to communicate clearly and respectfully with residents, staff, partners, and the public across multiple platforms
    • Demonstrated ability to manage competing priorities, work independently, and exercise good judgment in a fast-paced, evolving organizational environment
    • Strong organizational skills, including the ability to plan, track, and follow through on multiple projects simultaneously
    • Alignment with BACLT’s mission, values, and commitment to racial, economic, and housing justice
    • No minimum education requirement; lived experience and transferable skills are valued

    PREFERRED SKILLS

    • Experience using Google Workspace and work management platforms (e.g., Asana, Monday); familiarity with Mailchimp, Instagram, Airtable, AppFolio, and/or Canva is a plus
    • Experience working in or alongside property management systems, with an ability to apply a trauma-informed and resident-centered approach
    • Strong collaboration skills and a demonstrated ability to build trust and positive working relationships across teams and with community members
    • High attention to detail and follow-through, particularly in administrative, financial, and compliance-related tasks
    • Clear, thoughtful communicator who can adapt tone and messaging for different audiences and contexts
    • Self-aware and reflective, with a willingness to learn, receive feedback, and adapt practices over time
    • Strong work ethic and initiative, including the ability to anticipate needs, problem-solve, and keep projects moving forward amid changing conditions
    • Bilingual Spanish/English strongly preferred but not required
    • Bonus: experience with strategic storytelling, consistent messaging, or creative marketing and communications campaigns in a mission-driven context
