    POSITION INFORMATION

    The Roosevelt House Public Policy Institute at Hunter College, a historic and dynamic center for public discourse, research, and education, is currently seeking a motivated and detail-oriented part-time Events Administrative Assistant to support its vibrant Events Department. With a legacy rooted in the values of Franklin and Eleanor Roosevelt, the Institute hosts a wide array of high-profile academic and public events, including panel discussions, conferences, and seminars. This position offers a unique opportunity to contribute to the execution of meaningful and impactful programming that engages students, faculty, and the broader community in critical conversations about public policy and human rights. The role is ideal for a candidate with strong organizational skills, experience in event coordination, and a passion for collaborative, mission-driven work in a fast-paced academic environment.

    GENERAL DUTIES

    • Monitor and respond to inquiries sent to the Roosevelt House Event Department inbox
    • Process event registration and maintain RSVP lists for each event
    • Submit work orders to the Hunter College Facilities Dept. for event set-up and breakdown
    • Procure food items/supplies for events
    • Track inventory of office and event supplies
    • Secure temporary liquor licenses for events in coordination with Hunter College Administration
    • Maintain the event department’s project management calendar of deadlines and event-related tasks
    • Input and maintain Roosevelt House event data in fundraising database and project management software
    • Assist Chief Administrative Officer with staffing requests for events
    • Assist Event Manager with creating floor plans and briefing memos for individual events
    • Event completion documentation and debriefing

    QUALIFICATIONS

    • Minimum of one year of experience in an office, especially with planning events and;
    • Strong time management and communication skills, especially when balancing multiple projects simultaneously
    • Ability to prioritize and exhibit strong judgment/critical thinking
    • Proficient in Microsoft Office Suite
    • Must be comfortable working on projects independently and collaborating with a team

    PREFERRED QUALIFICATIONS

    • Bachelor’s degree or equivalent, related experience
    • Prior event planning experience
    • Database and marketing software (Raiser’s Edge, Net Community, Salesforce)

    BACKGROUND

    Roosevelt House, located on Manhattan's Upper East Side, was the historic New York City home of Franklin and Eleanor Roosevelt and Franklin's mother, Sara Delano Roosevelt, from 1908 to 1942. An integral part of Hunter College since 1943, it reopened in 2010 after an extensive renovation as the permanent home of the Roosevelt House Public Policy Institute at Hunter College, dedicated to teaching, research and public programming in the fields of public policy and human rights. The institute provides opportunities for Hunter students to experience meaningful civic engagement and pursue undergraduate studies in public policy and human rights; for faculty to research, teach, and write about important issues of the day; and for scholarly and public audiences to participate in high-profile lectures, seminars and conferences.
