    Our Business Manager plays a pivotal role in advancing the financial strength and operational excellence of Mothers’ Milk Bank California (MMBCA). This position is responsible for cultivating and expanding hospital partnerships, guiding program growth, and forecasting future opportunities, while ensuring sound financial management practices. The Business Manager also provides strategic oversight of technology, security, and business continuity, ensuring the long-term sustainability and impact of MMBCA.

    As Chair of the Hospital Alliance Partnership Program, the Business Manager partners with Neonatal Intensive Care Units and healthcare providers to strengthen relationships, monitor performance, identify opportunities for program expansion, and align MMBCA’s business strategy with the evolving needs of hospitals and the families they serve.

    Compensation & Benefits

    • Salary: $90,000–$100,000 annually (commensurate with experience)
    • Benefits: Medical, dental, vision, disability, paid vacation and sick leave, 10 holidays, and a Simple Retirement Account.

    Work Environment & Requirements

    • On-site position in San Jose, CA
    • Occasional travel for meetings and conferences
    • Some evening and weekend work
    • Ability to lift and move up to 30 pounds occasionally
    • Valid driver’s license with a clean driving record

    Responsibilities:

    Financial Leadership & Business Strategy

    • Partner with the CEO and fiscal consultant to oversee MMBCA’s annual fiscal audit.
    • Manage and monitor the budget, ensuring accurate and timely financial reporting.
    • Reduce aging A/R through proactive reporting, follow-up, and collaboration with hospital partners.
    • Track, analyze, and forecast program growth trends to guide decision-making and long-term sustainability.
    • Monitor and recommend adjustments for pricing strategy for products and services.
    • Ensure compliance with grant requirements by monitoring expenses, preparing reports, and supporting staff with financial documentation.

    Hospital Partnerships & Program Growth

    • Lead the Hospital Task Force to strengthen partnerships with hospitals and clinical leaders to expand access to donor milk programs; support strategic negotiations with hospitals to ensure mutually beneficial agreements.
    • Track and maintain hospital contracts, renewal dates, and compliance requirements.
    • Monitor and analyze hospital utilization trends to forecast growth opportunities and strategic planning.

    Administrative & Organizational Oversight

    • Supervise and support organizational systems for expense reports and approvals, signing authority, departmental budgets, annual planning processes, and performance reviews.
    • Serve as a key member of the leadership team, fostering cross-departmental coordination and contributing to organizational strategy and decision-making.
    • Coordinate the annual renewal of FDA registration, business licenses, and CDPH collection center licenses and to ensure compliance with all relevant federal, state, and local regulations.
    • Oversee vendor and contractor relationships in shipping, inventory, technology, and facilities; track vendor performance and implement cost-saving strategies.
    • Manage procurement cycles, contract renewals, and compliance for service agreements, vendor contracts, and business insurance policies.
    • Lead bulk purchasing and supply chain planning during high-volume periods.

    Technology, Security & Business Continuity

    • Oversee IT operations with the Operations Specialist and IT partners.
    • Ensure compliance with data privacy and security standards.
    • Identify, recommend, and implement technology solutions to enhance operational efficiency.
    • Lead annual review, testing, and updating of MMBCA’s Business Continuity Plan (BCP).

    Qualifications:

    • Strong commitment to Mothers’ Milk Bank’s mission.
    • Bachelor’s degree in business administration, nonprofit management, finance, or related field (required).
    • Minimum of 5 years of experience in nonprofit or healthcare business operations.
    • Proficiency with QuickBooks, Google Workspace, Microsoft Excel, and audit portals.
    • Familiarity with HIPAA or healthcare data privacy regulations (preferred).
    • Strong knowledge of compliance, audit, grants management, and vendor contracting.
    • Demonstrated project management and multitasking skills in fast-paced environments.
    • Experience supervising staff and collaborating across teams.
    • Excellent organizational, problem-solving, and communication skills.
