    About the NASPA Foundation

    The NASPA Foundation champions the advancement of the student affairs profession by providing vital support, recognition, and resources to NASPA members. Through research grants, awards, and fellowships, we strengthen NASPA in being a thriving, inclusive, and innovative organization for student affairs professionals.

    The NASPA Foundation is an independent entity, distinct from NASPA, with the mission of funding and supporting NASPA’s programs and initiatives. While separate in structure, governance, and budget, the Foundation’s work is intricately woven with the shared aim of advancing the student affairs profession, providing intentional backing, resources, and recognition to complement and amplify NASPA's objectives. NASPA Foundation employees are employees of NASPA and NASPA provides operational support to the NASPA Foundation through an MOU between the organizations..

    About the Position

    The NASPA Foundation is seeking a detail-oriented and organized administrative support staff member to assist with daily operations and donor stewardship. This part-time position will play a key role in supporting fundraising initiatives, managing donor records, coordinating logistics for events, and providing general administrative support to the NASPA Foundation. They will work closely with the Executive Director of the NASPA Foundation, and various departments within NASPA. The ideal candidate is proactive, highly organized and detail-oriented, and committed to advancing the work of the NASPA Foundation. This is a 15-20-hour per week part-time position.

    Essential Responsibilities

    • Administrative & Operational Support
      • Maintain accurate donor records in the database and assist with data entry, reporting, and acknowledgments.
      • Respond to donor and member inquiries in a timely and professional manner.
      • Maintain the NASPA Foundation website with current information regarding the board of directors, Foundation volunteers, donors, and award winners.
      • Assist in processing donations and generating donor acknowledgment letters.
      • Assist with pulling donor reports within the fundraising database.
      • Update and maintain online giving forms through the fundraising database.
    • Event & Fundraising Support
      • Support the planning and execution of the NASPA and NASPA Foundation Awards Celebration held during the NASPA Annual Conference.
      • Support the Pillars of the Profession award program through application review, website updates, award winner recognition, and gift processing.
      • Organize materials and shipments for Foundation-related meetings and events with a particular focus on the Foundation’s role at the NASPA Annual Conference.
      • Order and maintain supplies to promote the Foundation at various NASPA programs held throughout the year.
      • Assist with the coordination of fundraising campaigns, including email outreach and donor recognition efforts.
    • Assists with all-team projects and participates actively in staff meetings and projects.
    • Other activities, duties, and responsibilities as assigned to support the association.

    Reports To: Executive Director, NASPA Foundation

    Qualifications

    • Strong organizational skills and attention to detail.
    • Required experience in managing a donor database (Donor Perfect preferred).
    • 3-5 years prior experience in supporting foundation / fundraising organization
    • Experience in supporting board of directors and/or donors is a plus
    • Experience in event planning is a plus
    • Excellent written and verbal communication skills.
    • Ability to handle confidential information with discretion.
    • Self-motivated with the ability to work both independently and collaboratively.
    • Prior administrative or nonprofit experience preferred.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    • Knowledge of NASPA and higher education/student affairs is a plus.
    • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
    • Demonstrated commitment to cultivating an inclusive work environment that values the perspectives and lived experiences of a diverse workforce and membership.

    Employment Status:

    Part Time: Part Time employees are those employees who are working less than 30 hours a week. This position is outlined for 15-20 hours per week.

    Non-Exempt: Non-exempt employees are those employees who are covered by the federal Fair Labor Standards Act, and are eligible to be paid overtime work in accordance with the provisions of applicable wage and hour laws.

    Candidates must be authorized to work in the U.S. NASPA does not initiate, extend or provide immigration or work visa sponsorship for employment.

    Salary Range

    The salary range for this position is $28-$32 per hour.

    Office Location/Working Conditions/Physical Requirements

    Office Location

    This position may be based anywhere in the contiguous 48 states.

    It is the employee’s responsibility to provide reliable internet capabilities for any work location outside of the Washington, D.C. office.

    Physical Requirements

    • This position is primarily office-based with primary work on a computer, including phone, email, and video conferencing.
    • Responsibilities occasionally may require an adjusted work schedule in order to meet deadlines and support events and programs.
