    Title: Volunteer Coordinator

    Volunteer Coordinator

    Charlotte Maxwell Clinic (CMC) is a holistic health clinic that provides free complementary and integrative treatments to low-income women with cancer. Our work is made possible by a small paid staff and over 125 active volunteers who generously serve in a variety of roles. The Volunteer Coordinator is responsible to train, supervise and schedule volunteers.

    Our volunteer services include acupuncture, Chinese and Western herbs, homeopathy, massage, therapeutic imagery, nutritional counselling, movement, and other holistic modalities.

    The Volunteer Coordinator is a key team player and leader in helping us expand our impact and serving existing and new clients.

    About the Position:

    • Responsible for building, engaging, and retaining a large community of volunteers who feel connected to the clinic's mission, staff, clients, and fellow volunteers to support CMC's growth and help ensure its future success.
    • Ensures that volunteers are available to deliver services to Charlotte Maxwell Clinic clients. This includes vetting, training, scheduling, and retaining current and new volunteers to provide complementary therapies and workshops, both in-clinic and online, as well as provide program support.
    • Collaborates with the Clinic Operations Manager, Medical Director and Executive Director on outreach strategies to recruit qualified volunteers and to properly train new volunteers.
    • The Volunteer Coordinator will also coordinate regular appreciation and periodic professional development activities and events for volunteers.

    This is a hybrid remote/in-person position.

    • It is expected that the Volunteer Coordinator will be on-site 3-4 days a week.
    • Please note that the clinic is open Friday-Monday. The Volunteer Coordinator will not be expected to work on-site every weekend, but will need to coordinate with the Clinic Operations Manager and Medical Director to do their part of staff on site coverage over the days the clinic is open on a weekly basis.

    Duties Include:

    • Coordinate with the Medical Director and other partners around recruitment, including organizing volunteer attendance at relevant recruitment opportunities.
    • Track,vet and interview volunteer candidates in collaboration with the Medical Director.
    • Coordinate volunteer training, obtain agreements, communicate, and assign/manage volunteer clinic shifts.
    • Communicate closely with volunteers and the Client Services team, acting as a liaison between the clinical team and volunteers.
    • Organize, advertise, host and properly “staff” Group Wellness Classes and Workshops with volunteer practitioners/instructors.
    • Identify and coordinate volunteers to assist in additional activities such as shift coordination, clerical work, event support, EHR technical support, fundraising,etc.
    • Plan and organize regular volunteer trainings. Ensure volunteer training curriculum is appropriate and complete in collaboration with the Medical Director.
    • Work closely with the Clinic Operations Manager and Client Services team, communicating promptly and early about volunteer scheduling plans and schedule changes.
    • In coordination with MD, ED, and Clinic Manager, help handle volunteer cancellations, ensuring that shifts are properly staffed when cancellations occur.
    • Maintain Volunteer Services database; oversee all volunteer data and schedules
    • Maintain clear volunteer records, complete files, and organized information.
    • Oversee various staff projects which support volunteer services (e.g. managing shift schedule changes, volunteer on-call schedule, shift reminders, in-clinic orientations, volunteer events, etc.)
    • The Volunteer Coordinator is expected to be physically present in the clinic during shifts as needed, but at least 1shift per week.
    • Create, distribute, and maintain volunteer communications, including a periodic e-newsletter and bulletin boards at the clinic.
    • Plan and organize additional programs/events/activities for volunteer appreciation and engagement.
    • Plan and implement volunteer appreciation activities, gifts, etc. and community building opportunities for volunteers.
    • Attend regular CMC staff meetings and events.
    • Provide a monthly Activity Report to the Clinic Operations Manager, Medical Director and Executive Director.
    • Attend priority shifts on Tuesday periodically to understand the needs of that shift.

    Qualifications & Attributes:

    We are seeking a mature, self-motivated team player to join our small and dedicated team of paid staff to manage the 125+ volunteers who provide services to our clients. Must be very organized, have strong communication skills, attention to detail,be very comfortable working with a diverse population, and committed to our mission.

    • Physical requirements are typical of office work and may include lifting and carrying up to 15 lbs.

    Education and Experience:

    • Three plus years of experience in volunteer coordinator, recruitment, training and managing large group of volunteers, OR- at least three years managing a team, developing and executing staff training, and providing ongoing oversight and mentorship,
    • Bachelor’s degree, preferably in communications, management, or health-related
    • Familiarity with integrative, holistic medicine desired
    • Proficiency with Google Workspace

    Compensation & Benefits:

    Hourly position, (est. 36-40 hours per week). Some weekend work is required, providing flexibility on weekdays.
