RIVET is seeking a Grants & Operations Coordinator to support the Impact team by managing grant administration, meeting preparation, documentation, and day-to-day operational support. This role helps keep grant cycles, reporting, and internal workflows running smoothly in a fast-paced, mission-driven organization, ensuring timelines stay on track and communication across teams and grantees is clear and reliable.

Core responsibilities
Grants Administration & Tracking
- Maintain grant trackers covering applications, approvals, disbursements, and reporting deadlines
- Track required documentation, receipts, and impact updates from grantees
- Follow up with grantees to ensure timely and complete reporting
- Keep grant records accurate, organized, and partner-ready
- Support grant cycle launches and close-outs with clear timelines and checklists
Impact Operations & Systems
- Maintain shared folders, trackers, and internal documentation for impact work
- Support the upkeep of SOPs, templates, and process documentation
- Ensure data, files, and materials are easy to find and consistently organized
- Flag risks, delays, or missing information early to leadership
- Support internal reporting and dashboard inputs as needed
Administrative & Assistant Support (Impact Team)
- Prepare, format, and polish impact-related materials, including: Presentations and decks / Grant summaries and briefs / Partner- and funder-facing documents
- Support meeting logistics: Draft agendas and pre-reads / Take notes and track action items / Manage follow-ups and reminders
- Coordinate calendars, deadlines, and internal requests for the Impact team
- Reduce administrative load for the Chief Impact Officer and Impact Manager
- Support logistics for impact-related events, convenings, or travel (as needed)
- Serve as a reliable point of coordination across impact workflows
- Provide steady cross-functional coordination in a fast-moving environment, bringing structure, follow-through, and clarity to shared projects
Compensation: USD $3,000/mo ($36,000 annually)
Start Date: February/March 2026
Location: Fully remote
Time commitment: We ask that all full-time staff members maintain daily overlap with core team hours. For this role specifically: Mon-Fri from 11a-2p ET and at least 4 hours overlap with CET (between 1p-9p CET).

- Administrative excellence: Strong skills in scheduling, meeting preparation, follow-ups, and keeping leadership workflows organized
- Grants distribution coordination: Comfort supporting payment tracking, confirmations, and documentation in coordination with internal teams
- Operational systems fluency: Ability to maintain clean trackers, shared folders, and grant documentation across tools and platforms
- Presentation & document support: Ability to prepare, format, and polish decks, summaries, and internal or partner-facing materials
- Clear written communication: Ability to draft concise, professional emails, instructions, and internal updates related to grants and operations
- Follow-through & reliability: Consistent in closing loops, tracking deadlines, and ensuring nothing falls through the cracks
- Calm, proactive mindset: Steady under shifting priorities, able to anticipate needs and flag issues early
