    Women’s Law Project (WLP) is a small, fast-paced non-profit legal advocacy organization that works to defend and advance the rights of women, girls, and LGBTQ+ people in Pennsylvania and beyond.

    WLP is seeking an Administrative Operations Associate to support the organization’s office management, human resources, accounting and financial reporting, and board liaison functions. The Administrative Operations Associate reports to the Director of the Philadelphia Office.

    The ideal candidate will have excellent people skills, meticulous attention to detail, strong writing and critical thinking skills, an ability to work independently and collaboratively, a passion for the work of WLP, and an ability to work closely with the board of trustees.

    Job Duties:

    General Administrative and Office Operations

    • Provide administrative support to the Executive Director and the Director of the Philadelphia Office
    • Support general office management (ordering equipment and supplies, requesting repairs, sorting mail, copying, etc.)
    • Assist staff with travel and lodging arrangements, as needed
    • Support hiring managers in recruitment and interviewing processes
    • Track key compliance deadlines
    • Supervise non-legal interns, as needed

    Accounting and Financial Reporting

    • Support the Director of Finance and Administration in processing accounts receivable and accounts payable, including QuickBooks Online data entry
    • Prepare financial documentation for grants and funder reports
    • Manage vendor accounts, subscriptions, contracts and administrative documentation
    • Prepare checks for and make weekly bank deposits
    • Perform credit card and donor database reconciliations
    • Assist in preparation of the annual audit and liaise with external auditors

    Board Support

    • Prepare and distribute board packets and meeting materials
    • Manage board contact list, track board member terms, and record committee assignments
    • Attend committee meetings, prepare agendas, and record and disseminate minutes
    • Maintain the board book and monitor board documentation requirements

    Other duties as assigned

    Qualifications:

    • Bachelor’s degree or equivalent work experience
    • At least 2-4 years professional experience in nonprofit finance, administration or operations
    • Discretion and professionalism in handling confidential information
    • Proficiency with QuickBooks Online (or similar accounting systems)
    • Strong skills in Microsoft Office 365 (Word, Excel, SharePoint), experience with board management or HR platforms a plus
    • Demonstrated commitment to social justice values, including racial justice and gender justice
    • Excellent organizational skills, including a high attention to detail 
    • Strong written and verbal communication skills
    • Ability to work collaboratively with colleagues, give and receive feedback, work independently, and handle challenging situations using critical thinking skills
    • Proven ability to interact with individuals who are from diverse backgrounds

    Salary & Classification:

    This position is full-time exempt.

    The salary for this role is $50,000.

    Location of Work:

    WLP is a hybrid office. The in-office component of the work (2-3 days per week) will take place in Philadelphia, Pennsylvania.

    WLP permits remote work on a case-by-case basis when it is reasonable and does not present an undue hardship on the organization. WLP prefers employees to perform their remote work in Pennsylvania to ensure compliance with state and local withholding requirements and wage and hour laws.
