    Position Summary

    We seek a detail-oriented team player to manage our office operations and support the Executive Director and Board of Directors as needed. The ideal candidate is an administrative professional with excellent communication, interpersonal and project management skills who enjoys managing office operations while interacting with diverse stakeholders ranging from community members, colleagues, vendors, visitors to the office, and board members. They will maintain a professional and welcoming office environment by overseeing daily tasks, managing procurement and maintenance needs, and supporting development operations.

    The Operations Coordinator reports to the Operations Manager.

    Representative Responsibilities include:

    Office Administration (60-70%)

    • Under the direction of the Operations Manager, develop and implement office and vehicle management systems, including monitoring the office budget and related contracts and vendors for office maintenance, improvement and repair to ensure a professional, safe, and welcoming working environment for staff and visitors
    • Serve as the first point of contact to visitors by phone, email and in person, and route stakeholder questions and needs to appropriate staff members
    • Act as a liaison between operations team, vendors, and staff to coordinate the maintenance, repair, and daily operations of company vehicles and physical buildings
    • Coordinate logistics for organization-wide events, meetings and trainings
    • Support onboarding and offboarding processes related to office security and access
    • Work with Operations Manager on maintenance and security of databases, IT equipment and device management, and system updates, providing backup IT support as needed
    • Support FUF website maintenance and updates in collaboration with Marketing and Operations Manager
    • Support Operations Manager with retrieving and routing office postal mail
    • Coordinate other office operations as needed

    Vendor Coordination and Invoicing (15-20%)

    • Manage procurement, maintenance and inventory for office equipment, shared supplies and PPE across departments, negotiating contracts with vendors to obtain better terms, quality, and pricing
    • Work with Operations and Finance team members to ensure accurate and timely expense coding and management for invoices related to Administration and Shared Overhead expenses
    • Support grant invoicing by reviewing, organizing and compiling backup documentation related to reimbursable expenses

    Executive and Board Support (10-15%)

    • Assist the Executive Director with scheduling meetings and general administrative tasks including note taking and screening and filing correspondence
    • Manage the logistics, materials and agendas for Friends of the Urban Forest Board of Directors and committee meetings, take meeting minutes
    • Support Development with donor check processing and Salesforce reconciliation as needed

    Qualifications and Experience:

    • 3+ years of experience with customer service (phone, email, in person) and administrative office management
    • Professional experience with budget management and vendor negotiation
    • Demonstrated ability to use tact and discretion and to maintain confidentiality of information and other related matters required
    • Excellent organizational skills with the ability to manage competing priorities and deadlines
    • Exceptional attention to detail and strong written, analytical, and verbal communication skills
    • Experience, comfort, and skill in communicating with diverse audiences
    • Strong technology and systems skills particularly with Google Suite, Microsoft Suite, Salesforce or other CRM databases, and Zoom
    • A courteous, helpful attitude on the job, and a willingness and ability to be responsive to colleagues, volunteers, the general public and Board members
    • Ability to take initiative and solve problems creatively
    • A highly dependable and punctual team player with humility, humor, flexibility and self-direction

    Competitive Compensation and Benefits

    The Office Coordinator position is full-time, non-exempt with an hourly rate of $75-34.75/hour (approximately $68,120-72,280 annually) depending on experience. Friends of the Urban Forest offers a competitive benefits package that includes 100% employer-covered medical, dental, vision, life, and AD&D insurance for employees and 50% for dependents (up to a certain limit). We offer a 403(b) retirement plan, a generous paid leave policy that includes 13 holidays each year and vacation starting at 12 days and increasing with additional years of employment, as well as funds for professional development opportunities.

    Work Environment

    The position is primarily based in the office located in the Presidio of San Francisco. This role operates on a hybrid schedule of four days in-office and one day remote.

    The noise level in the work environment is usually moderate. Office workspaces are often shared and employees should not have any expectation that they can be assigned a dedicated workspace.
