    Position Summary:

    The Bereavement Programs Coordinator manages program data, systems, and operational processes for Eluna’s Bereavement Programs team, Camp Erin Online, and the Camp Erin network. This role is primarily operations focused. It supports program administration, maintains data integrity, and improves systems, workflows, and reporting processes to facilitate program evaluation and decision-making. This position includes regular coordination with internal teams and external partners, requiring clear, professional communication and responsiveness.

    This role is well suited for a detail-oriented individual with an interest in program operations, data management, program evaluation, process improvement, and partner coordination.

    The Bereavement Programs Coordinator is part of Eluna’s Bereavement Programs team and works closely with the Operations team. This position reports to the Director of Bereavement Programs, who is remote. This is a grant-funded position.

    Duties and Responsibilities:

    • Manage pre- and post-camp reporting requirements for the Camp Erin network, communicating and tracking partner deliverables and conducting follow-up to support timely completion.
    • Provide clear and supportive guidance to partners throughout the reporting process.
    • Develop, maintain, and organize e-forms that integrate into Eluna’s CRM system (Salesforce) for Camp Erin program operations.
    • Maintain Camp Erin program and evaluation data for in-person and online programs, ensuring timely and accurate data inputting, tracking, and review.
    • Support process improvement and efforts to streamline workflows.
    • Prepare and distribute reports on program metrics to support program operations, grant applications and reporting, marketing and communications, and impact reports.
    • Coordinate Camp Erin inventory, including timely supply ordering and distribution to partner organizations.
    • Support corporate engagement with Camp Erin, including outreach communications, impact tracking, and reporting.
    • Manage user accounts and content within assigned areas of the Camp Erin Portal, Eluna’s online knowledge base for the Camp Erin Network.
    • Maintain Eluna’s National Program Guide, including conducting outreach, creating new listings, and making routine updates.
    • Recruit, train and oversee volunteers and interns supporting Camp Erin data entry.
    • Document and maintain standard operating procedures (SOPs) for areas of responsibility.
    • Support funder relationships, grant reporting, and grant deliverables in coordination with senior team members.
    • Collaborate with other Eluna teams on projects and initiatives as needed.
    • Work in Eluna’s Philadelphia office a minimum of two days per week
    • Attend and support Eluna events as needed.

    Qualifications:

    • BA in Social Work, Psychology, Public Health, Communications, Information Systems, Information Science or related field and a minimum of 1-3 years relevant experience; or associate degree and a minimum of 2-4 years relevant experience; or equivalent combination of education and experience
    • 1-3 years’ experience in data entry, program operations, administrative support, or project coordination
    • Experience with:
      • accurate and detailed data entry and data management
      • supporting workflow improvements, automation, and system updates
      • supporting and coordinating the implementation of programs, services, or projects
      • communicating with internal teams and external partners
      • supporting grant reporting, tracking, or deliverables, preferred

    • Familiarity with basic design tools (e.g., Canva or similar)
    • Confidentiality, honesty, and discretion required
