Dept. of Sound uses music and audio tech to power youth creativity and mental wellness. We’re looking for a seasoned Executive Assistant—someone who has already been in an EA role before— who can keep projects, comms, and basic finance humming for a fast-moving nonprofit.
Key responsibilities
- Calendar, travel, inbox triage for CEO, CPO (Chief Program Officer), and CFO; issue Monday priorities briefs and daily updates.
- Project-management dashboards—build & update Asana / Airtable boards for grants, events, youth programs.
- Comms & marketing ops—draft donor thank-yous, Mailchimp bulletins, sponsor follow-ups, and schedule social-media posts.
- Light finance—enter bills & payroll data in QuickBooks
- Procedural documentation—create quick SOPs (screenshots or Loom) whenever you fix a process.
- On-ground tasks two days a week (more during select weeks): mail pickup, vendor runs, venue walk-throughs, event logistics.
Must-have experience
- 2+ years as a dedicated Executive Assistant (C-suite, agency MD, or nonprofit ED).
- Solid project-management skills (ClickUp, Asana, Trello, or similar).
- Extremely organized
- Confident, upbeat communicator—comfortable with city officials, tribal leaders, corporate sponsors.
- Fluency in Google Workspace, QuickBooks, Calendly, Zoom, and Mailchimp; social-media scheduler basics.
- Valid CA driver’s license; able to be in the Sacramento region up to two days/week (some weeks will be fully remote).
Nice-to-have (bonus points)
- Experience with youth programs or youth mental-health initiatives.
- Nonprofit fundraising or sponsorship outreach exposure.
Compensation & term
- $28-30/hr (DOE) · 20 hrs/week · August 4 – Oct 31 2025.
- Mileage reimbursement; DOS-provided laptop.
- Contract may extend—and could grow to full-time in 2026—pending funding.
