    About Free Arts Days:

    Free Arts Days (FAD) pairs 25-100 elementary-age youth 1:1 with volunteers for an afternoon of art-making and “mini mentoring.” Sponsored by a corporation or individual, each pair rotates through 2-4 themed art projects, exploring various materials while building connections. FAD events take place in community centers, schools, corporate offices or the Free Arts office.

    About Art Parties:

    An Art Party is a volunteer-only public or employee engagement event for 25-100 participants that supports our Free Arts Day program. Volunteers hand-paint bags, prepare art materials, pack art kits, and work on seasonal projects based on program needs. Art Parties are held at corporate offices and the Free Arts office.

    Job Summary

    The Free Arts Day Coordinator is responsible for supporting the Director of Free Arts Days and Development team in delivering 60+ events from April - September. The position coordinates public volunteer recruitment and engagement, supports program execution behind the scenes and leads program events, as needed. The Coordinator organizes and prepares supplies for 3,000+ projects.

    Responsibilities:

    Event preparation and operations

    • Coordinate and organize materials for up to 4 events per week
    • Manage art room space and an art materials inventory
    • Order, pack, prepare and coordinate shipping art supplies to event locations through a courier service
    • Print and manage event paperwork and other materials
    • Support with curriculum development through material selection and making sample art projects to use for demonstration at program events
    • Provide additional support to the Development Team at Art Parties where needed
    • Support in administration for fall and winter art-kit packing events

    Supervisory and Administrative:

    • Lead a classroom of up to 35 youth and 35 adult volunteer mentors in art-making activities
    • Supervise 1-2 college/high school interns/volunteers with project prep
    • Oversee supply budget, collect and maintain receipts
    • Maintain a clean and organized art room daily
    • Maintain the general inventory of art supplies
    • Upload and maintain completed event documentation in Google Drive and Salesforce.

    Volunteer Recruitment and Management :

    • Responsible for public volunteer outreach, which includes sharing opportunities, reviewing applications, interviewing and training.
    • Lead in execution of public volunteer events which include volunteer only engagement opportunities and acting as liaison during Free Arts Day and Art Party programming
    • Oversee communication throughout the season to steward relationships with our community of volunteers
    • Create a sustainable system for our public volunteer pool.

    • Enthusiastic about Free Arts NYC’s mission
    • An effective problem solver
    • A skilled multitasker who can keep things organized and stay on-task
    • Accustomed to a fast-paced environment where communicating with multiple team members and vendors is key
    • Comfortable and confident speaking in front of a large group of children,teens,and volunteers
    • Willing to travel throughout the city and to different venues
    • Generally knowledgeable about art materials

    In addition, we prefer candidates to have:

    • Event production experience
    • Experience working directly with youth and curriculum development
    • Experience managing volunteers or interns
    • Familiarity with inventory and operational management systems

    Work Environment

    Currently, Free Arts is operating with a hybrid of remote and in-office work. Presence in-office is required a minimum of 3 days a week. This role will regularly require in-person attendance at offices across the city. The day-to-day operations of this role require the use of a MacBook Pro, the ability to appear and participate in video conferences, and commute throughout the city to events as needed.

    Physical Requirements and Work Environment

    The position involves regular handling and movement of program materials, including packing, unpacking, and transporting bins of art supplies using tools such as dollies. The employee must be able to sit, stand, and walk for extended periods of time; bend and lift regularly; and use their hands for repetitive tasks related to preparing and managing materials.

    The role requires the ability to lift and carry items weighing up to 50 pounds.
