    About the Role

    WAN-IFRA Women in News (WIN) is seeking a Western Balkans Project Manager to lead the regional implementation of the Social Impact Reporting Initiative (SIRI) in the Western Balkans (Bosnia and Herzegovina, Serbia, Kosovo, Montenegro).

    This role combines programme management, regional coordination, and operational oversight, ensuring that activities are delivered effectively, aligned with global frameworks, and adapted to local contexts. The Project Manager will play a critical role in strengthening SIRI’s presence, partnerships, and impact across the region.

    Key Responsibilities

    1. Programme Management and Coordination
    • Lead overall coordination of programme implementation across the Western Balkans
    • Oversee the implementation calendar, ensuring activities are delivered on time and aligned with the approved workplan and logframe
    • Ensure effective internal coordination across programme components and stakeholders
    • Maintain structured project management systems, including:
      • Airtable tracking and data management
      • Monitoring of outputs, indicators, and deliverables
      • Accurate and up-to-date reporting records
    • Oversee and maintain documentation systems, spreadsheets, and data organisation to enable timely reporting and analysis
    1. Monitoring, Reporting, Evaluation and Learning (MREL)
    • Lead the design, coordination, and quality assurance of MREL tools and processes
    • Ensure alignment with the Results Assessment Framework (RAF) in collaboration with the WAN-IFRA Director, Monitoring & Evaluation (MREL)
    • Support data collection, validation, and analysis across programme activities
    • Ensure timely preparation of narrative and data-driven reports
    1. Financial and Administrative Oversight
    • Maintain oversight of the project finance log, including:
      • Tracking invoices, advance payments, expense claims, and grants’ financial reports
      • Ensuring proper review, validation, and documentation
    • Coordinate procurement, consultant contracting, and reporting processes in line with internal and donor requirements
    • Oversee the work of the Project Coordinator/Admin to ensure compliance and efficiency
    1. Localisation and Programme Adaptation
    • Lead the translation and localisation of programme materials, including:
      • Application and selection tools
      • Surveys and reporting templates (narrative and financial)
    • Ensure materials are contextually relevant while maintaining alignment with SIRI global standards
    1. Outreach and Partnership Development
    • Support outreach and engagement to identify partners across the region
    • Build and maintain relationships with media organisations, networks, and key stakeholders
    • Support recruitment of grantees and programme participants
    • Maintain continuous relationships with grantees and programme participants
    • Strengthen SIRI’s regional visibility and network
    1. Trainers, Mentors and Expert Engagement
    • Help identify and recommend regional trainers, mentors, and experts
    • Support onboarding, contracting, and coordination of trainers and mentors in line with WAN-IFRA standards
    • Ensure training and mentoring activities align with programme objectives and participant needs
    1. Participant Management and Regional Coordination
    • Act as the primary regional focal point for participants
    • Ensure clear, consistent communication in relevant local languages (Serbian/Bosnian/Croatian)
    • Support participant engagement throughout the programme lifecycle
    • Maintain accurate participant records and engagement tracking
    1. Gender Balance Tracker – Regional Implementation
    • Support localisation and rollout of the Gender Balance Tracker in collaboration with the WAN-IFRA WIN Director, SIRI and Advocacy
    • Assist team in training participants on tool usage and methodology
    • Support data collection, organisation, and reporting
    • Ensure effective integration of the tool within programme activities
    1. Communications and Visibility
    • Support the development of programme communications, including:
      • Social media content highlighting SIRI-supported stories
      • Contributions to impact reports and programme outputs
    • Coordinate with the communications team to ensure consistent messaging
    • Identify and elevate strong stories, case studies, and impact examples from the region
    1. Event and Logistics Management
    • Ensure effective planning and delivery of online and in-person activities, including:
      • Trainings and workshops
      • Peer learning sessions
      • Networking events
    • Oversee participant coordination, logistics, and communications in Airtable
    • Ensure smooth execution of events and proper documentation of outcomes

    Profile and Requirements

    • Strong experience in project management, preferably in media development or international programmes
    • Experience working in the Western Balkans region with established networks
    • Familiarity with grant management
    • Experience coordinating multi-stakeholder programmes and partnerships
    • Strong organisational and data management skills (experience with tools like Airtable is an asset)
    • Excellent communication skills in English and relevant regional languages
    • Ability to work independently while coordinating with global teams
    • Knowledge of Cyrillic alphabet is an asset
    • Knowledge of Albanian and/or Macedonian is an asset
