We are seeking an organized, self-initiating, and people-centered People & Culture Coordinator to provide essential administrative and operational support that strengthens the systems, processes, and culture empowering our team. The ideal candidate thrives in a dynamic environment, anticipates needs, thinks critically, and supports solutions to challenges. This position collaborates with most teams across the organization and is integral to moving All In Energy’s mission of creating lasting change in the world forward. Working closely with the Director of People & Culture, you will support smooth people operations through equitable hiring practices, onboarding, internal communications, and follow-through on team needs. In addition, you will have opportunities to contribute to special projects. This role is ideal for a growth-oriented individual who excels at organizing and improving processes, fostering a positive inclusive workplace, and is dedicated to diversity, equity, inclusion, and belonging. This new role will expand our capacity to proactively improve people systems, enrich the staff experience, develop and retain staff, and support a growing organization.
Key Responsibilities
People Operations & Administrative Coordination (40%)
- Assist the Director of People & Culture with employee lifecycle processes including recruitment, hiring, development, retention, and offboarding to enhance employee belonging, engagement, and development.
- Coordinate responding to employee relations needs, ensuring timely and supportive follow-up.
- Share internal communications, reminders, and updates related to People and Culture processes with the organization.
- Participate in the Professional Development Team to train and develop the organization.
- Support the Director of People & Culture and the Executive Team in coordinating weekly all-team meetings including technology support and periodic icebreakers.
- Support benefits administration, including new hire enrollments and annual renewals.
- Track key metrics (time to hire, retention, etc) and prepare updates for the Director of People & Culture and Executive Team.
- Support compliance with employment laws and internal policies by ensuring forms, training, and certifications are completed.
- Maintain accurate personnel records in Google Suite and other systems and confidentiality of information to protect staff and organizational operations.
- Perform additional duties as assigned by the Director of People and Culture to support the organization’s mission.
Equitable Hiring & Onboarding Support (30%)
- With support from the Director of People & Culture, coordinate and optimize the administrative aspects of recruitment, hiring, and onboarding cycles for staff and interns, including preparing hiring folders, posting jobs, tracking candidates, scheduling interviews, and communicating with applicants through BambooHR.
- Support hiring managers and hiring teams to move candidates smoothly through each stage of the process and train hiring teams on equitable hiring practices.
- Support expansion of recruitment pipelines, especially for diverse talent pools.
- Prepare and maintain onboarding materials and schedule meetings for new hires.
DEI, Culture, & Employee Experience (15%)
- Support implementation of the organization’s DEI goals and equity-centered practices.
- Collect, track, and summarize staff feedback to improve practices and policies and strengthen people systems.
- Assist in coordinating events, professional development opportunities, and culture-building activities.
- Support employee recognition including birthdays, work anniversaries, and professional milestones.
Special Projects (15%)
- Contribute to building and refining key people, systems, and tools, including our performance management framework, employee handbook, and organizational policies.
- Participate in cross-functional initiatives that enhance employee engagement, professional development, and organizational culture.
- Conduct research and prepare data or presentations to inform leadership decisions on people-related strategies.
Qualifications Required
- Strong commitment to All In Energy’s mission and to advancing diversity, equity, inclusion, and belonging in the workplace and clean energy sector.
- Excellent organizational, scheduling, and project management skills with strong attention to detail.
- Adept at managing multiple priorities, deadlines, and maintaining well-organized records and systems.
- Strong written and verbal communication skills with the ability to take clear and concise notes.
- Comfort with using technology and quickly learning new software, including Google Workspace, scheduling tools, and business applications.
- Ability to work collaboratively with diverse teams, spanning both in person and remote work environments.
- Self-motivated and able to work independently and ask for help when working primarily remotely.
- Our organization requires the successful completion of a background check and 4-panel drug test (marijuana not included).
- This individual must be based in Massachusetts.
Preferred
- 1+ years of professional experience in HR, recruiting, office administration, DEI, or a related field.
- Experience with HRIS like BambooHR, Human Interest, or similar HR and/or benefits management systems is a plus.
- Can creatively problem-solve and adapt to dynamic environments and team needs.
- Experience with diverse team members in a nonprofit or fast-growing organization.
- Familiarity with equitable hiring practices and inclusive onboarding.

Benefits & Compensation
- $28.88 hourly non-exempt full-time 40 hour per week position with occasional evenings or weekends for special events.

Location
- 90% remote role based in Massachusetts, with quarterly travel to our shared coworking space near Boston University and to our Lawrence office.
