    Founded in 2019 by two longtime educators, Brooklyn Independent was created to reimagine the middle school experience for students, families and staff. We’re built to disrupt the NYC education system by offering a much-needed alternative for families searching for an elevated, personalized, diverse education experience for their children. We know kids and families deserve more than what is often offered in the public school system but understand that private school can be unapproachable. At BKI we fill that gap – not with the rigor or traditional structure that has become the norm – but with care. We take an approach to learning that engages each individual student’s curiosity, creativity, and humanity because we care to do things differently.

    POSITION SUMMARY

    Brooklyn Independent (BKI) is seeking a dedicated and dynamic Office Manager for the 2025–2026 school year. Now entering its seventh year, BKI continues to grow as a community-centered middle school with a bold mission to be a school that dares to care. We’re looking for an Office Manager who can bring warmth, organization, and initiative to help our school community thrive.

    The Office Manager plays a central role in the daily life of BKI. This position ensures that our operations run smoothly, our environment remains welcoming and organized, and that communication between staff, students, and families is clear and responsive. The responsibilities span three key areas: Administrative Support, Office Management, Communication & Community Engagement and Afterschool Program Coordination.

    🗂️ Administrative Support

    • Executive Assistance: Provide direct administrative support to the Head of School and leadership team, including scheduling meetings, managing calendars, and preparing necessary documentation.
    • Record Management: Maintain accurate student and staff records, including attendance, health records, and academic files, ensuring compliance with privacy regulations.
    • Data Entry & Reporting: Input and manage data in student information systems and generate reports as needed for internal use and regulatory compliance.
    • Event Support: Assist in planning and executing school events, such as open houses, board meetings, and retreats, handling logistics like scheduling, catering, and communication.

    🏢 Office Management

    • Front Desk Operations: Serve as the first point of contact for visitors, parents, and students, managing inquiries and directing them appropriately.
    • Supply & Inventory Management: Oversee stocking of office and classroom supplies, ensuring that necessary materials are available and organized. Work with the Operations Manager to ensure supplies are ordered in a timely manner.
    • Facility Maintenance: Ensure the office and common areas are clean, organized, and welcoming, support the coordination of maintenance and repairs as needed.
    • Technology Oversight: Manage office equipment, including printers and copiers, and liaise with IT support for any technical issues or upgrades.

    📣 Communication & Community Engagement

    • Internal Communication: Disseminate information to staff and faculty through newsletters, emails, and meetings, ensuring everyone is informed about school policies, events, and updates.
    • Parent & Community Relations: Maintain open lines of communication with parents and guardians, addressing concerns, providing updates, and fostering a collaborative school environment.
    • Emergency Communication: Utilize communication systems (e.g., BrightArrow) to send timely alerts and information during emergencies or unexpected events.

    🕒 Afterschool Program Coordination

    • Oversee logistical and administrative aspects of the school’s afterschool program, including scheduling, supplies, and staff communication.
    • Track student enrollment and attendance; maintain records and communicate with families as needed.
    • Ensure that afterschool programming is well-organized, safe, and aligned with the school’s values and culture.

    Qualifications

    • Bachelor’s Degree or equivalent experience
    • Experience as an office manager role, preferably at a non-profit or an education institution
    • Communicate fluently in written and spoken English
    • Strong organization and people skills
    • Ability to work in a fast-paced environment
    • Familiarity with Google Suite: Drive, Sheets and Docs

    Interview Process

    We want our candidates to KNOW us when they join the team. That is why our interview process is more extensive but it means we can both say “YES!” with confidence. As such, our interview includes an in-person interview and a performance task, for which you will submit a written project plan for a provided scenario. Interviews will begin mid-June.

    Hours and Compensation

    This role is a full-time position. The starting compensation for this role is between $50,000 to $60,000. The starting pay will depend on various factors that may include but are not limited to professional experience, education, training and certifications.
