Summary

We’re seeking a very organized, collaborative, and resourceful person to be our next Group Experience Expert. An Experience Expert is assigned to every group that visits Ghost Ranch to ensure they have a smooth and wonderful event, whether a retreat, conference, family reunion, or wedding. This person is the primary point of contact before, during, and after each group visit. This role is ideal for someone who genuinely enjoys helping others, takes pride in keeping things running smoothly, and brings a calm, welcoming presence to their work.

Our guests come from near and far to take part in classes, workshops, and retreats; to camp, hike, and star gaze; and to reunite with family and friends.

Working in a remote area brings unique challenges, requiring both coordination and flexibility, and, sometimes, ingenuity. Our staff work together to let the wonder of Ghost Ranch speak for itself, stepping up to make sure guests have a great experience and leave with indelible memories.

Responsibilities

• Work closely with the Sales Expert to understand contract details and event needs for each group
• Act as the primary contact for assigned groups before, during, and after their visit
• Coordinate group logistics, including room lists, dining, meeting spaces, and activity add-ons
• Communicate group details to internal teams and ensure spaces and services are set up as planned
• Welcome groups on arrival, assist with check-in, and provide or arrange orientations
• Check in with groups daily to support a smooth guest experience and resolve issues
• Gather and share post-visit feedback to support continuous improvement
• Support internal teams during peak periods

Qualifications

• Minimum one year of experience in customer service, hospitality, event coordination, or an equivalent combination of experience and skills.
• Demonstrated ability to interact with guests, leaders, and colleagues in a warm, gracious, and professional manner.
• Strong organizational skills, with the ability to manage multiple projects simultaneously while maintaining attention to detail.
• Flexible, patient, and calm when responding to guest needs or unexpected challenges.
• Strong verbal and written communication skills. Comfortable with email, phone, and in person exchanges.
• Proven ability to collaborate across departments and coordinate logistics with peers and external partners.
• Ability to plan ahead, meet deadlines, and follow through on commitments with minimal supervision.
• Comfort using basic technology and administrative tools, including email, shared documents, scheduling systems, and databases.
• Flexibility in scheduling. Evening and weekend coverage is required and variable, based on the arrival days and needs of guest groups.
