Seeking a Virtual Assistant to support its outreach and administrative functions. This role combines outreach coordination (including cold outreach to philanthropic and corporate partners) with administrative support, such as managing scheduling, notes, and communications.
The ideal candidate is detail-oriented, organized, and comfortable with behind-the-scenes administrative tasks. This position reports directly to the Executive Director and plays a key role in supporting the organization’s growth and visibility.
Key Responsibilities
Outreach & Philanthropic Engagement
- Conduct research to identify philanthropic entities, corporate foundations, and mission-aligned donors.
- Draft and send outreach and follow-up communications to potential funders, partners, and collaborators.
- Assist in developing and maintaining outreach materials (one-pagers, pitch decks, email templates).
- Maintain outreach tracking sheets and contact databases.
- Support meeting coordination and follow-ups with philanthropic partners and donors.
Administrative & Organizational Support
- Schedule and manage calendar invites for meetings, events, and follow-ups.
- Take and organize meeting notes using note-taking apps (e.g., Notion, Evernote, Google Docs, or similar).
- Ensure accurate documentation of meetings and follow-up actions.
- Maintain digital organization systems and assist with basic data entry or filing as needed.
- Coordinate internal communications between staff and leadership.
Qualifications
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities with attention to detail.
- Proficiency in Microsoft Office or Google Workspace (Docs, Sheets, Calendar).
- Experience with outreach, fundraising, or nonprofit communications preferred.
- Interest in women’s entrepreneurship, small business development, or philanthropy.
- Ability to work independently, manage multiple priorities, and meet deadlines.
