    POSITION SUMMARY:

    As a Program Assistant with The Community Partnership for the Prevention of Homelessness (TCP), you will serve as a key member of our Office of General Counsel Team to help support TCP’s mission. In this role, you will be responsible for providing duties that are key to the OGC Team, including paralegal duties and records management.

    ESSENTIAL POSITION FUNCTIONS INCLUDE THE FOLLOWING:

    • Coordinate with the General Counsel to prepare and organize various legal documents and files for upcoming cases and trials
    • Prepare filings for court or administrative tribunals, including translating documents
    • Conduct legal research and at the direction of the General Counsel, investigate facts
    • In coordination and consultation with the General Counsel, responsible for the collection, review, and production of documents in response to discovery requests
    • Organize, file, and archive the documents related to completed and ongoing litigation matters
    • In coordination with and direction from the General Counsel, ensure all records used by TCP are up to date, available for inspection, and stored, achieved, or destroyed in accordance with TCP’s records retention schedule
    • Provide support in legal proceedings, including note-taking and handling exhibits
    • In consultation with the General Counsel update and maintain a records retention schedule for the organization
    • Oversees, coordinates, and ensures that requests for information are responded to in a timely manner by identifying sources of information
    • Serves as TCP’s primary contact for internal requests for records
    • Serves as TCP’s primary contact for internal requests related to the destruction of TCP documents
    • With direction from and in coordination with the General Counsel, respond to requests for TCP documents, Freedom of Information requests, Subpoenas, etc.
    • In consultation with General Counsel support litigation hold activities
    • Conduct records program reviews, identify gaps, document findings, and support continuous improvement activities, including understanding preservation of records and electronically stored information
    • Perform additional records management-related duties as assigned
    • Assist with other duties or projects as assigned, as deemed appropriate

    MANDATORY REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • Associate’s or Bachelor’s degree in legal studies, business, political science or related field
    • ABA-approved Paralegal certificate or equivalent combination of education and experience
    • 3-5 years of paralegal or legal assistant experience
    • Proven experience supporting attorneys or senior leadership in public or private sector environments
    • Skilled in document management
    • Experience in legal writing, document review, legal research, legal compliance, trial preparation, and drafting pleadings
    • Excellent communication skills, to include the ability to communicate clearly in writing and verbally to a wide range of audiences (consumers, front-line staff, program representatives, agency directors, etc.).
    • Superior organizational skills and attention to details
    • Must be able to manage caseloads with a large degree of independence
    • Proficiency in using legal research software and Microsoft Office Suite, including Excel
    • Strong commitment to maintaining confidentiality and exercising discretion
    • Outstanding organizational skills and ability to effectively prioritize and manage multiple tasks at the same time.
    • Eagerness to learn and support legal/compliance matters
    • Additional languages a plus
    • Notary Public qualification a plus

    REQUIRED SKILLS AND ABILITIES:

    • Excellent organizational skills with a high attention to detail and excellent proofreading skills
    • Professional, client-focused communication style
    • Comfortable working in an environment where flexibility and initiative are valued
    • Ability to thrive in a fast-paced environment, juggling competing, time-sensitive demands
    • Experience demonstrating ability to work independently and as part of a team to take initiative and to ask questions when necessary; ability to conceptualize and manage complex projects while engaging resources from inside and outside of the General Counsel’s office
    • Advanced computer literacy and expertise with software use in a typical office environment, including Teams, MS Word, MS Excel, MS Outlook, MS PowerPoint, and proficiency with data input and utilizing legal research tools.
    • Experience using web-based platforms such as Dropbox, Smartsheet, and Google Office products.
    • Ability to conduct self-directed work and/or function as part of a team.

    WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

    • Primary work environment is located in an open office area
    • The noise level is moderate
    • Frequently required to move about to access file cabinets and use office equipment
    • Exhibit manual dexterity to dial a telephone, operate a computer keyboard, and handle paper documents
    • Ability to enter data and/or information into a computer
    • Ability to understand written and/or oral instructions
    • Ability to read a computer screen and printed materials with or without vision aids
    • Physical ability to bend, stoop, climb stairs, reach overhead, and lift objects of up to 10 pounds
    • Prolonged periods of sitting at a desk and working on a computer
    • Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time
