    Position Description

    The Finance Coordinator is an integral member of the Finance Team. Reporting directly to the Senior Director of Finance, the Finance Coordinator supports the day-to-day financial administration of the organization, with a particular focus on efficient, accurate, and fully functioning Accounts Payable and Receivable, maintaining financial records, verifying and recording program expenditures, and assisting with reconciling accounts for Health Care Without Harm and Practice Greenhealth. Ad hoc special projects may be assigned at the discretion of the supervisor.

    Primary Objectives

    • Accurate and timely recording of organizations’ financial transactions.

    Essential Functions

    The Finance Coordinator is an integral member of the Finance Team supporting the department and organization at large in a variety of functions including, but not limited to, the following:

    • Daily management of the AP inbox
    • Timely and accurate entry of transactions in Accounts Payable system
    • Setup and maintenance of domestic and international vendor profiles including collection of W-9, W-8BEN, and other documentation
    • Generating Accounts Payable and Accounts Receivable Aging Reports
    • Responding to and following up on vendor inquiries
    • Recording of receivables in the appropriate systems
    • Maintaining check and cash receipts log and informing relevant stakeholders
    • Working with Departments to appropriately record and recognize membership revenue
    • Support staff using the organization’s expense reimbursement and credit card management platforms
    • Monthly reconciliation and review of credit card reports for completeness and expense categorization accuracy
    • Monthly review of employee expense reimbursement reports
    • Assist with entries in financial accounting system
    • Assist the Finance Team with month-end closing procedures ensuring books are closed in a timely manner
    • Assist in preparation of monthly bank reconciliations
    • Support the Finance Team with preparation of annual audits and compliance requirements
    • Document processes and assist in developing training tools for staff

    Qualifications

    • Minimum Education: BA or BS in Accounting or other related fields. Combined experience/education as a substitute for minimum education.
    • Minimum Experience: 2 years of progressive experience in an accounting position.
    • Minimum Field of Expertise: Accounting, finance, or other related fields.
    • Preferred Education: BA or BS in Accounting.
    • Preferred Experience: 4 years of accounting in non-profit field, experience with Sage Intacct; 1-year experience with Accounts Payable system
    • Preferred Field of Expertise: Accounting in the non-profit sector and in a virtual organization.

    Job-Specific Competencies:

    • Confidentiality: Ability to keep personnel and confidential information confidential. Knowledge of who to necessarily involve during confidential situations.
    • Computational Abilities: Ability to calculate figures and amounts such as interest, percentages, etc.
    • Computer Skills: Knowledge of Microsoft Office applications – specifically advanced knowledge of excel, knowledge of Sage Intacct or similar accounting software, knowledge of payroll and accounts payable applications, knowledge of Google suite of applications
    • Accounting: Thorough knowledge of general accounting including thorough skills knowledge plus the application of general accounting theory.
