    Descripción

    Note: We are open to candidates who would qualify as an Associate Registrar based on experience, with the opportunity to grow into the full Registrar role.

    Summary

    The Registrar provides strategic leadership for all aspects of academic records, registration operations, data integrity, academic advising, compliance reporting, and graduate programs policy and management at The Seattle School. The Registrar role collaborates closely with the Dean of the Graduate School, Faculty, Student & Academic Services, and the Director of Instructional Design & Assessment, as well as across the institution with Enrollment, Campus Services, and IT. As the institution’s primary academic records officer, the Registrar plays a central role in student success, institutional compliance, and the integrity of The Seattle School’s academic operations.

    The ideal candidate brings a collaborative and service-oriented approach to their work, with an emphasis on relational attentiveness, care for the whole student, and the integration of professional excellence with personal values. This position functions as an essential member of the Student & Academic Services team, whose mission is to ensure that students are holistically and equitably supported at The Seattle School of Theology & Psychology in alignment with our school’s mission.

    Essential Functions

    Academic Records & Data Reporting

    • Ensure the security, integrity, and accuracy of academic records as well as the coordination and implementation of academic policies and procedures in accordance with AACRAO standards, FERPA regulations, and institutional policies and procedures.
    • Serve as the Student Information System (Populi) administrator.
    • Ensure institutional compliance with various bodies, including Department of Education, Title IX, ADA, Department of Homeland Security, NC-SARA, and accreditors.
    • Manage all academic functions including registration, SAP, grade collection, transcripts, enrollment verification, degree certifications, NSLDS reporting, and course evaluations.
    • Collaborate on the production of institutional reports related to enrollment, academic standing, graduation rates for internal and external audiences (IPEDS, accreditors, Board of Trustees, etc.).
    • Serve as Primary Designated School Official for processing International Student records:
    • Maintain SEVIS records for international students.
    • Coordinate entry and acceptance of international students with the Admissions Department.
    • Manage all paperwork, reports, and issues related to the Department of Homeland Security/ICE.
    • Oversee and train Designated School Official(s) for processing International Student records.

    Registration Management & Oversight of Academic Advising

    • Maintain and coordinate the development of the master course and classroom schedule.
    • Develop and publish the academic calendar and schedule of courses each academic year. Coordinate with the Dean of the Graduate School, Faculty, Internship Director, and Listening Lab Director as needed.
    • Oversee all graduate school academic student advising, both directly to students and indirectly through staff training/supervision and content development.
    • Support the management of material, technological, and physical resources for classroom instruction, in collaboration with the Director of Campus Services and IT.
    • Oversee the Student & Academic Services Team in strategies for supporting students through academic challenges, leaves of absence, or changes in enrollment status.
    • Ensure graduate programs are run efficiently and provide excellent service to students and instructional staff.

    Graduate Programs Policy & Management

    • Working in collaboration with Enrollment, Dean of the Graduate School, and Director of Student & Academic Services, establish, implement, and monitor programs that encourage student academic success and retention.
    • Maintain and publish institutional catalogs and student-facing handbooks (i.e., for Internship, Apprenticeship, Integrative Portfolio) in collaboration with the Academic Policies Committee and faculty as appropriate.
    • Identify, clarify, and resolve complex issues and help manage the direction of internal administrative policy development for programs and academic operations.
    • Participate and collaborate with committees that plan, develop and evaluate student services, retention and student life concerns such as the Student Services Committee.
    • Collaborate with the Student & Academic Services Team to develop and execute key institutional events such as Convocation, Residencies, and Commencement.
    • Serve on the Academic Policies Committee and attend some faculty meetings ex officio.
    • Serve on the Internship Administration Team, supporting the implementation and usage of SupervisionAssist (student internship form management).
    • Oversee the management, collection, and review of all required student Psychotherapy, Internship, Apprentice, Field Experience forms, and MACP Vocational Development Rubric.
    • Lead process improvement and change management initiatives, including technology implementation, to streamline operations and support institutional growth.
    • Support budget development and monitoring alongside the Dean of the Graduate School and Director of Student & Academic Services.
    • Develop, implement, and assess student-facing policies to ensure equitable access to education and mission alignment.

    Supervision & Leadership

    • Supervise the Academic Advisor
    • Lead training on systems and academic processes for faculty and staff.

    Knowledge, Skills, & Abilities

    • Master’s Degree in a related field is highly preferred; Bachelor’s degree minimum.
    • Minimum of 3-5 years of progressively responsible experience in a registrar’s or academic records office in higher education, including direct student advising.
    • Demonstrated supervisory or team leadership experience.
    • Experience with compliance reporting typical of registrar offices in higher education, including Department of Education, Title IX, ADA, Department of Homeland Security, NC-SARA, and/or accreditors.
    • Proven ability to lead process improvement, change management, and technology implementation initiatives.
    • Experience with data analysis and institutional reporting for internal and external audiences.
    • Previous experience with database management and student information systems; Populi experience is a plus.
    • Proficiency with Google Workspace, Microsoft Office, Zoom, and aptitude to learn new technology and programs independently.
    • Ability to manage multiple systems simultaneously, including calendars, reporting procedures, and internal technology platforms.
    • Excellent written, verbal, and interpersonal communication skills.
    • Service-oriented approach to working with students, faculty, and staff, with a natural aptitude for customer service and leadership.
    • Strong organizational and time management skills, with the ability to prioritize competing deadlines in a fast-paced environment.
    • Ability to work creatively, collaboratively, and effectively across departments.
    • Appreciation for and willingness to support the mission and values of The Seattle School, including comfort working within a faith-based, graduate-level academic environment.

    Compensation & Benefits

    The Seattle School of Theology & Psychology provides competitive total compensation package aligned with the nonprofit market. The pay range for this position is $32.21 – $36.54 per hour ($67,000-$76,000 annualized). The total compensation package also includes generous paid time off, healthcare (employee premiums 100% employer paid), retirement benefits, a bus pass subsidy, tuition waiver benefits, and a flexible, supportive environment. The schedule is hybrid, with an on-campus presence needed Mondays and Tuesdays. Must be able to be present on campus additional days, including weekends, multiple times a year for events such as Fall & Winter Residencies, Convocation, and Commencement.
