    Descripción

    The Operations & Program Manager is a hands-on doer and organized project manager based at our Staten Island bakery and working across the whole organization. This role implements the systems, training, curriculum, and procedures that keep both Staten Island and Brooklyn locations running consistently.

    Reporting to the Co-Executive Director and working closely with the Program Director, the Director of Strategic Development, and instructional leads at both sites, the Operations & Program Manager will develop and implement processes aligned with the organization's vision within the following scope of work:

    Operations & Systems Responsibilities:

    • Standardize operations and procedures across both bakery locations so every participant has a consistent, high-quality experience
    • Build, document, and implement organization-wide systems, workflows, and standard operating procedures that improve efficiency, consistency, and scalability
    • Own Invictus's project management and workflow platforms for standard operating procedures and training materials, so that every recurring process has a documented owner, sequence, and record
    • Project-manage organizational priorities from initiation through documentation, including cross-site initiatives and the rollout of new programs, policies, and procedures
    • Identify and resolve operational bottlenecks, and spot opportunities to streamline processes and strengthen collaboration between teams and locations
    • Partner with the Director of Strategic Development to ensure structural consistency across the Brooklyn and Staten Island sites

    Program & Instructional Training Responsibilities:

    • Standardize training materials and curriculum across both locations, grounded in Invictus standards and our philosophy of presumed competence
    • Complete and implement instructional staff onboarding, training, and ongoing coaching, partnering with the Program Director on the coaching model
    • Make expectations, training, and feedback explicit and consistent, lowering barriers to hiring and advancing staff with disabilities
    • Codify a repeatable process for developing and launching new bakery products led by Spellers at the Staten Island bakery

    Compliance & Commercial Operations Responsibilities:

    • Lead the transition of the Staten Island Speller Bakery to a full commercial operation, licensed and able to sell
    • Own compliance and permitting workflows, including coordination with the New York City Department of Health on permitting and inspection for the Staten Island site
    • Coordinate food safety certification with ServSafe training partners
    • Coordinate administrative priorities that support organizational planning, governance, and compliance

    Other Responsibilities:

    Additionally, the Operations and Program Manager will be responsible for:

    • Partnering with leadership to carry out strategic initiatives and keep organization-wide priorities on schedule;
    • Completing a 90-day onboarding plan tied directly to the role's first-year goals;
    • Working with referral and programming partners, including CrimsonRise, AHRC, RelationSpot, and Brooklyn Autism Center, as projects require;
    • Taking on new initiatives as they arise, in areas ranging from technology and software to governance and compliance; and
    • Working collaboratively with the team for bi-annual fundraising events.

    General Requirements

    • 3-5 years of experience in operations, program management, or project management, ideally in a regulated environment such as food service, education, or health and human services, or in a nonprofit or multi-site setting
    • Demonstrated success turning informal practices into clear systems, documentation, and training in a small or growing organization
    • Fluency with project management and workflow software; strong computer skills including (but not limited to) the use of Microsoft Office.
    • Comfort switching between big-picture planning and hands-on execution
    • Experience with, or clear commitment to, disability inclusion and presuming competence in every person we serve
    • Experience with autistic or nonspeaking communities, or with Spelling to Communicate (S2C), is a plus
    • A degree is preferred, but relevant experience will be weighted equally

    Desired Physical Qualifications

    • Ability to travel locally, including regular travel between the Staten Island and Brooklyn locations
    • Some sedentary work involving ability to communicate using the phone and computer
    • Ability to lift heavy items, handle repetitive tasks, and stamina for prolonged standing in a fast-paced, hot environment

    Desired Mental Qualifications

    • Ability to process complex information through spoken language
    • Ability to convey ideas through oral communication
    • Strong reasoning and analytical skills
    • Basic mathematics
    • Excellent communication, documentation, and organizational skills
