Summary
The Part-Time Bookkeeper is responsible for managing the day-to-day accounting and bookkeeping functions of St. Andrew’s School. This is a hands-on role requiring strong technical proficiency, a high degree of accuracy, and the ability to work independently within a small, mission-driven business office. The bookkeeper works under the direct supervision of the Operations Officer and in close coordination with the school’s fractional CFO, Head of School, Chief Development Officer, and board members as appropriate.
Compensation is structured as a fixed annualized salary. The school anticipates an average of approximately 10-15 hours per week to complete required responsibilities, though a highly proficient candidate may complete the work in fewer hours. This structure rewards efficiency and expertise. This is a hybrid role and schedule will be determined based on the school’s accounting cycles and operational needs.
School Overview
St. Andrew’s School (SAS) is a tuition-free, independent Episcopal day school serving students in Kindergarten through 5th grade in Richmond, Virginia. Established in 1894, SAS is one of a small number of schools in the country that provides an independent school education to children from families with limited financial resources through a full scholarship for every child. With 96 students across six grade levels, we employ a whole-child approach to education that integrates academics, family engagement, graduate support, social-emotional learning, visual and performing arts, and wellness and nutrition.

Functional Responsibilities
- Maintain accurate and timely general ledger entries and account coding in QuickBooks Online
- Manage QuickBooks bank feeds; match, categorize, and post transactions accurately for multiple accounts
- Oversee all accounts payable functions, including invoice processing, vendor payments, and expense coding
- Manage accounts receivable, including invoice preparation, posting receipts, tracking outstanding balances, and following up as appropriate
- Process cash receipts and prepare bank deposits
- Prepare and post journal entries
- Complete bank, credit card, and balance sheet reconciliations on a monthly basis
- Record and reconcile payroll and benefits transactions following each payroll cycle
- Maintain vendor records, including W-9 collection, and annual 1099 filing
- Prepare monthly financial statements and financial dashboards for internal use
- Support fixed asset tracking and maintain related records
- Track restricted and unrestricted funds in coordination with the fractional CFO
- Support grant financial reporting and donor-restricted fund tracking in coordination with the development team
- Assist with annual audit preparation and provide documentation as requested
- Support 990 preparation in coordination with the fractional CFO and external accountant
- Assist with preparation of annual budget as needed
- Ensure procurement compliance with VDOE and Child Nutrition program requirements
- Prepare student nutrition financial reports as required by state and federal programs
- Coordinate with the Chief Development Officer on development-finance matters, including gift entry reconciliation and fund reporting
Minimum Qualifications
- Minimum of two years of proven bookkeeping or accounting experience
- Excellent working knowledge of QuickBooks Online required, including extensive experience with bank feeds, transaction matching, categorization, and reconciliation
- Bachelor’s degree in accounting, finance, business, or a related field strongly preferred
- Strong attention to detail and commitment to accuracy
- Ability to manage multiple tasks independently and meet recurring deadlines
- Demonstrated discretion in handling confidential financial information
- Strong written and verbal communication skills

Preferred Qualifications
- CPA or comparable professional credential
- Nonprofit and/or independent school experience
- Proficiency in Google Workspace (Docs, Sheets, Drive)
- Experience working in an urban school setting with students from under-resourced communities
Physical Requirements
- Primarily desk-based work in a school office environment
- Ability to navigate a multi-floor building as needed
- Occasional lifting of files, supplies, or materials
