Position Description
Under the direction of the Director of Individual Giving, this position supports the cultivation, acquisition, and stewardship of individual donors and members who contribute to the Museum’s general operating needs, exhibitions, education programs, and special projects via the Annual Fund and Membership program. The Coordinator also provides general administrative assistance to the individual giving team.
This position reports to the Director of Individual Giving and works collaboratively with other members of the External Affairs & Development team.
Duties and Responsibilities
Annual Fund
- Manage the Annual Fund in consultation with the Director of Individual Giving.
- Determine strategy and execute year-round Annual Fund campaigns that incorporate mail, email, web, social, and phone.
- Manage the Adopt an Artifact initiative.
- Write copy for emails, letters, and web.
- Track and analyze results of campaigns.
- Compile reports to senior staff on outcomes.
Membership
- Manage the general membership program with guidance from the Director of Individual Giving.
- Maintain set schedule to initiate renewals, acknowledgements, and appeals.
- Work throughout the Museum to support front-line and programmatic staff in promoting and selling/renewing memberships and fulfilling benefits.
- Track and analyze performance of renewals and appeal campaigns.
- Support coordination of membership activities including tours, receptions, and other special events to ensure fulfillment of benefits at all levels of membership.
- Write copy and design compelling member emails and letters.
- Respond to general membership inquiries via phone, email, and in person.
- Track and maintain inventory of membership supplies.
Operations and General Development Support
- Support gift processing for credit cards and checks.
- Updates and manage donor records in Humanitru to ensure maximum accuracy and detail.
- Maintain and generate lists for special events.
- Manage processing for ticket donation requests from non-profits.
Other Responsibilities
- Assist with development events, such as receptions, dinners, festivals, exhibition openings, galas, etc.
- Participate as a staff member of the External Affairs & Development department, including attending regular meetings, following all departmental procedures, and assisting others with department priorities.
- Represent the External Affairs & Development department at interdepartmental meetings and other contexts within the Museum with flexibility, collegiality, and professionalism.
- Support the overall objectives of the National Building Museum and act as an ambassador for the institution.
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree preferred.
- Experience working in an office environment required.
- Development and/or nonprofit experience preferred.
- Proficiency in Humanitru or similar database management system preferred.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Knowledge of Canva or In Design desired.
- Demonstrated attention to detail with an ability to meet deadlines and prioritize multiple tasks.
- Excellent writing and interpersonal skills.
- Flexible, professional, friendly manner.
- Ability to work evenings and weekends.
- Passion for architecture, urban planning, and other fields related to the building arts preferred.
- A love for learning and a sense of humor.
