The Associate is responsible for supporting donor stewardship activities, with an emphasis on Give2Asia’s corporate portfolio. Primary responsibilities include administrative assistance to the Philanthropy Advisors who manage relationships with Give2Asia’s donors and serving as a center of knowledge around Give2Asia’s best practices in grantmaking operations and corporate client’s grantmaking needs.
The ideal Associate candidate is keenly attentive to detail; has a strong grasp of clear, accurate, and concise use of the English language; thinks operationally; can juggle differing time priorities; communicates when challenges arise; and takes notes of ways to improve processes.
This is a part-time, remote role (28 hours per week) based in the U.S. that requires the availability to overlap with morning business hours in China and to join quarterly, in-person U.S. team meetings. The pay range for this role is $37,000 to $42,000 and includes employment benefits (including paid sick leave, workers’ compensation, and retirement benefits).

REPORTS TO: Senior Philanthropy Advisor, Corporate Portfolio
Internal: Interacts most closely with Give2Asia’s Stewardship team, Give2Asia’s China Representative Office, Location Advisors in Hong Kong SAR and Taiwan, and other departments as needed within Give2Asia.
External: Interacts with Give2Asia corporate donors and the corporate donors’ third-party grantmaking and monitoring & evaluation partners
JOB FUNCTIONS
The Associate primarily will support the grantmaking administration of grants to Mainland China, Hong Kong, and Taiwan. The Associate will be responsible for the following:
Grants Administration Support
Serve as a key part of the risk management and compliance process for all stages of grantmaking, ensuring due diligence and other documentation are completed with a high level of accuracy and in line with U.S. IRS and Chinese regulatory requirements
Manage the grantmaking administration of corporate grants, including for donor-advised grantmaking - from recommendation through Chinese government submission (where needed), application processing, grant submission to Give2Asia’s Board, Grant Agreement generation, and funds disbursement – and for pooled donations
Conduct detailed background checks according to Give2Asia’s due diligence requirements for new and renewing grantees
Review grant proposals and reports and seek clarification from location teams as needed
Enter and maintain grant information in Foundant Grants Lifecycle Management (GLM) database, Asana, and other grants trackers through the grant lifecycle; ensure information is kept up to date in all databases and trackers
Prepare application submissions to Give2Asia’s Board, Grant Agreements, disbursement requests, and other grant-related records
Ensure that assigned grants are made and reported on accurately, efficiently, and in a timely manner
Maintain communication with China Representative Office team in Beijing and Location Advisors in Hong Kong and Taiwan
Stewardship of Corporate Clients
Track grant portfolios and keep the Philanthropy Advisor updated on progress and issues that arise
Produce detailed grant making analyses, portfolio reports, and other documents adapted to the unique needs of each corporate client
Own donor deliverables related to grant progress, fund updates, and program impact, e.g. weekly trackers and custom reports.
Help Advisors respond to special requests from donors, as needed
Serve as a back-up contact person for assigned major clients when Advisor is unavailable, and support direct client relationship activities as needed
Other
Optimize database use for client stewardship; other database management and data entry, as requested
Provide recommendations for process improvement at the client, team, and organization levels
Keep Philanthropy Advisor informed of current events and developments related to and of interest to Give2Asia’s major clients
Conduct research on potential new grantees and/or fields of interest
Provide other research or content on current clients and grantees as requested by Business Development and Marketing staff
