    The Behavioral Health Catalyst (BHC) is a nonprofit organization that seeks to improve behavioral health outcomes by facilitating policy processes, convening and connecting cross-system actors, and communicating key knowledge and insights.     Position Information

    Job Title: Program Associate

    Job Location: Tuesday/Thursday in the office in Belltown, Seattle

    Contract Term: Indefinite

    Time Allocation: Full-time

    Supervisor: Managing Director

    Position Summary

    This job description outlines the responsibilities and qualifications for a Program Associate for BHC. This role will support all aspects of the organization on a wide range of administrative tasks. A successful candidate will have a strong skill set in program administration, a track record of administrative excellence, and a passion for BHC’s work.

    Responsibilities

    Programmatic Support

    • Provide event support, including logistics, event planning, and document preparation
    • Provide support on all external communications (e.g., proofing, management of distribution lists, monitoring/posting on social media, updating website)
    • Maintain programmatic databases in excel
    • Schedule meetings as requested for programmatic meetings
    • Take notes and track action items for meetings as requested
    • Prepare surveys, including scheduling polls and more complex programmatic surveys

    Operational Support

    • CRM Database (Bloomerang)
    • Set up key functions in CRM
    • Support the team in effective use of CRM
    • Input data as needed
    • Create reports and extract data as needed
    • Monitor inbound communications and triage action items
    • Prepare and submit monthly expense reports for corporate credit card
    • Maintain BHC Org SharePoint, ensuring shared files are logically organized and clearly labeled
    • Assist in preparation and execution of contracts and other administrative processes, in alignment with Panorama policies
    • Manage BHC Org calendar, including events and holidays, reserving meeting rooms, etc.
    • Execute logistics for all internal team meetings, including agenda, food, and notetaking
    • Maintain BHC Org OneNote and Onboarding Guide

    Fundraising Support

    • Track grant report deadlines and follow up with team to execute, as needed; upload documents into relevant grant portals
    • Track gifts received and required follow up steps, including thank you notes

    Administrative Support across the BHC Team

    • Prepare and submit expenses monthly
    • Provide reminders for routine tasks and meetings
    • Schedule meetings, including both in-person and virtual multi-participant meetings
    • Complete other ad hoc administrative requests

    Qualifications

    • At least 3 years of applicable experience in administration, demonstrating organizational and administrative skills; Proven track record in delivering high quality administrative support
    • Proficiency in Microsoft 365 (Word, PowerPoint, Excel, OneNote, SharePoint, and Teams), Zoom
    • Experience with CRM software, email marketing platforms, Adobe Acrobat, SurveyMonkey, Doodle, LinkedIn, Instagram
    • Examples of strong document editing; Clear and concise writing; Exceptional attention to detail
    • Ability to work in a fast-paced, high-performing environment with multiple priorities
    • Proactive approach to identifying and solving problems
    • Interest in behavioral health
    • Familiar with, or prepared to learn, Canva, Squarespace
