    The Administrative Coordinator manages a portfolio of support services, including technical, administrative, and operational support on behalf of Start Early Washington and the Washington Executive Director. Oversee calendaring, systems administration, and operations needed to deliver effective services, resources, and tools to Start Early Washington. Serve as a liaison to other divisions and external partners as needed. This position is remote, but Washington State candidates are preferred.

    Reporting to the Assistant Director, Operations, you will:

    • EXECUTIVE ADMINISTRATIVE SUPPORT (30%): Provide comprehensive administrative support to the Executive Director of Start Early Washington, including calendaring and email management, travel coordination, and system navigation, signature approvals, timecard approvals, credit card expenses, etc. Attend necessary meetings and provide high-quality notes and follow-up support as needed.
    • OPERATIONS MANAGEMENT (30%): Serve as the point person for Start Early Washington team processes, procedures and ways of working. Manage SEWA MS Teams channels, shared calendars, and listservs. Develop and implement strategies to meet the administrative and operational needs of the Washington office. Provide hands-on support and leverage written documentation to support staff. Lead onboarding for new hires to ensure a smooth transition to organizational systems, tools, and processes. Share org-wide announcements with the team from P&C, IT, Finance, etc. and act as liaison to org divisions to support SEWA admin needs, including IT, DSG, P&C, etc.
    • OFFICE PROCUREMENT (10%): Manage SEWA Leadership, Communications, Development, and Policy teams' procurement as needed in coordination with Program Operations Coordinator. Support the budgeting and forecasting for supplies, travel, and expenses for non-Program staff. Ensure expenses are documented and included in monthly forecast. Support SEWA staff in following best practices for purchases, subscriptions, expense processing, etc.
    • TECHNOLOGY & SYSTEMS OPTIMIZATION (10%): Serve as the primary liaison with Start Early’s IT division to manage technology operations, including equipment and software. Oversee office calendar and listserv management. Collaborates with Information Technology colleagues to ensure accessibility and effective use of technology for the Start Early Washington team, including Salesforce, Smartsheet, MS Teams, SharePoint, etc. Provides basic technological support to SEWA staff.
    • TEAM EVENT LOGISTICS (10%): Provide logistical support for in-person and virtual team meetings, including managing presentation sharing, polls, breakout rooms, and chat moderation. Manage logistics and operations for Washington office events and meetings—including scheduling, catering and venue coordination, virtual meeting support, note-taking, and attendee assistance.
    • OTHER (10%): Other duties as assigned by the Executive Director.

    Requirements

    • Bachelor’s degree required
    • Minimum of 2-4 years of related experience required. 2+ years of executive support.
    • Passion for closing the opportunity gap and understanding of the challenges involved in this work. Commitment to staying proximate to the problems we are working to solve for Illinois children and families
    • Deep commitment to and experience in advancing diversity, racial equity, and inclusion into organizational routines and practice is required
    • Experience in operations, skilled in managing processes well to ensure a positive experience for stakeholders involved
    • Ability to effectively establish and maintain effective relationships with customers and gain their trust and respect
    • Excellence in working and communicating with a wide range of people from diverse backgrounds internally and externally
    • Track record of strategic thinking. Ability to see the ‘big picture,’ synthesizing an array of information and identifying paths forward
    • Comfort and experience in handling risk and uncertainty to move work forward
    • Ability to work in a fast-paced environment with high level of attention to detail
    • Ability to be nimble, changing priorities in response to shifts in the work.
    • Knowledge of and/or ability to quickly learn and utilize operational systems (e.g., MS Office suite, Smartsheet, Salesforce, Workday Adaptive Planning, etc.)
    • Customer service orientation

    Base Annual Salary: $52,000-$65,000

    As of the time of this posting, this is the expected base annual salary range. The base annual salary will be based on a wide range of factors, including skills, qualifications, experience, as well as business needs and limitations.
