GAIA’s mission is to catalyze a global shift towards environmental justice by strengthening grassroots social movements that advance solutions to waste and pollution.     THE ROLE

    We are looking for a Senior Finance & Operations Manager to join our Finance team. The Senior Finance & Operations Manager will be part of the larger Global Services team and play an integral role in supporting GAIA’s global network on financial and administrative operations. This role collaborates closely with the Finance Director and Senior Accounting Specialist and is essential in maintaining efficiency and organization within the workplace. This role will require a step into interim leadership, temporary staff supervision and high-level finance responsibilities while the Finance Director is on sabbatical for 3 months. Confidentiality is a paramount requirement of this position.

    Location: This is a fully remote position, based in the United States.

    WHAT YOU’LL DO

    Organizational Finances, Budgeting and Support:

    • Work with the Finance Director and Management Team to guide the financial health of the organization by providing regular and timely financial statements and analysis reports.
    • Work with the Finance Director and Program leads to oversee and develop systems and structures for annual budgeting and budget revisions. This could include the selection and implementation of a new budgeting platform.
    • Support Finance Director in generating quarterly board financials
    • Work with the Finance team to prepare for annual audit including audit schedules, and provide documents as requested by auditors.

    Grants Management & Compliance:

    • Grantmaking management, tracking, monitoring and oversight
    • Work closely with Program Leads to ensure organizational spending aligns with program budgets
    • Review budgets vs. actuals quarterly and flag deviations or changes.
    • Assist with monthly reconciliations and month-end closing as needed
    • Assist Finance Director with grant allocations and grant reporting

    Administration & Operations:

    • Support our organizational operations processes including document retention, security and compliance
    • Manage independent service provider contracts and oversee standards and protocols for contractual agreements
    • Oversee technology purchasing and device management
    • Support our fiscal sponsorship and hosted programs
    • Oversee and manage lobbying tracking processes and protocols
    • Manage charitable status registrations for GAIA
    • Support partners with international entity formation

    WHO YOU ARE

    Specifically, this hire will bring: (these are must haves to be successful in this role)

    • 3-5 years experience managing sophisticated financial systems for a nonprofit organization. Experience with global nonprofit organizations is a plus.
    • Experience specifically with nonprofit accounting standards and requirements.
    • Experience working on contracts and compliance including setting up new financial systems associated with changing laws.
    • Experience with grant-making processes and management.
    • Experience supervising at least 1-2 team members
    • BUDGETING SKILLS: Demonstrated experience working with mid-size budgets ($5-7M), collaborating with and supporting staff to draft program budgets and managing annual budgets closely.
    • FINANCIAL ANALYSIS SKILLS: Demonstrated ability to develop efficient systems for financial tracking, reporting and analysis. Good assessment skills.
    • Experience working across multiple budgeting platforms and proven ability to lead transitions/adoptions across platforms.
    • TECHNOLOGY SKILLS: Solid experience with Quickbooks, working knowledge and successful use of budgeting platforms to ensure most effective use of the platform.
    • Demonstrated experience with Excel and Google Sheets. Comfort using Microsoft and Google platforms. Experience with Rippling a plus.
    • Experience working collaboratively and proactively in a remote work environment
    • Demonstrated flexibility and resourcefulness
    • Experience within an international/multicultural environment; equally valuable is experience furthering diversity, equity, and inclusion initiatives in a diverse environment

    COMPENSATION, LOCATION, AND WORK ENVIRONMENT

    • Temporary full-time position, salary range $90,000-$95,000 depending on experience.
    • This position is remote and will be based in the United States, candidates on the West Coast are strongly preferred, although we are willing to consider applicants with strong qualifications in other locations. Currently some of our team is working hybrid, and others are working remotely.
    • This position will require some travel for in-person meetings and/or team retreats 1-2 times per year.
    • Full COVID-19 vaccination is required for GAIA employees who travel and attend in-person meetings for GAIA.
    • Work is performed both independently and collaboratively. Work is performed on a computer, requires almost constant use of a keyboard, mouse, or other pointing device and may be performed sitting or standing.
