    ABOUT THE ROLE

    The Senior Finance Manager is an excellent opportunity for candidates with extensive experience overseeing all facets of nonprofit finance. We are seeking someone who combines a strong command of nonprofit accounting principles with a collaborative approach, working closely in partnership with teams across the organization. Our long-time Senior Finance Manager is retiring, and will be staying on to train the new person coming into this role for several months.

    The Senior Finance Manager will be an essential member of Rockwood’s Finance Team, driving accurate and efficient financial operations while delivering outstanding service to our colleagues, contractors, program participants, and all other constituents. We’re looking for someone who brings authenticity, care, and a commitment to excellence in everything they do.

    The salary for this remote, full-time, exempt position is $100,000. Rockwood offers a 32-hour full-time Monday - Thursday workweek with occasional work on Fridays as needed.

    This is a remote position with a requirement that candidates live in the U.S. and have U.S. work authorization. Annual travel for a team retreat and very occasional travel within the continental US are required. Because we work remotely, it is crucial that you have access to a place from which you can work with a reliable internet connection and minimal disruptions. We provide employees with the tools and equipment to set up a comfortable, productive home workspace, and offer a budget allotment for use of co-working spaces.

    What You’ll Do:

    Steward Rockwood’s financial operations with accuracy, efficiency, and a strong commitment to timely responses and high-quality outcomes for all constituents.

    Financial Operations & Systems Management

    • Ensure all Accounts Payable are properly recorded and that vendor, contractor, and participant payments are issued weekly and on time. Oversee company credit card administration.
    • Manage Accounts Receivable, including invoicing, collections, and ongoing communication with internal and external constituents.
    • Oversee payroll including onboarding and offboarding staff as well as preparation and administration of semi-monthly payroll, ensuring accurate wages, withholdings, and deductions for all staff nationwide.
    • Maintain timely, complete, and accurate financial records across Rockwood’s systems, including QuickBooks, Ramp, Salesforce, and others.
    • Maintain thorough, up-to-date internal documentation of all Finance Team processes and workflows.

    Compliance, Audit & Risk Management

    • Lead and project manage the annual audit process over the course of three months each year with the goal of a smooth audit with no findings. Ensure rapid response to questions and requests from auditors by coordinating across all of Rockwood.
    • Oversee preparation and submission of all tax filing federally and in all relevant states and other required compliance documents.
    • Manage contracting processes for trainers, consultants, and vendors in partnership with the Director of Finance and Administration. Maintain impeccable records of contracts within Rockwood filing systems.

    Reporting, Transparency & Cross-Team Collaboration

    • Share financial information regularly with internal and external constituents, promoting clarity, transparency, and organizational financial literacy.
    • Produce accurate, timely financial reports for other Rockwood teams and organizational departments as needed.
    • Collaborate closely with teams across the organization, offering financial insight, partnership, and responsive problem-solving.
    • Operate as the financial lead for fiscally sponsored projects, including audits, budgets, contract reviews, and monthly reconciliation.

    Your Must-Haves:

    You have the skills and experience to own the financial systems and accounting for a $10m nonprofit that also operates as a fiscal sponsor.

    This includes systems and processes such as: running accounts payable and receivables, managing payroll for approximately 35 staff, managing our contracts process, benefits administration, maintaining bank accounts, and leading the annual audit process.

    You tackle a high volume of detailed financial work with consistency, persistence, and a commitment to completion with minimal errors.

    The volume of proactive and reactive task-based work in this role is consistently high, and includes multiple inboxes, task lists, and systems. It requires a person who is not only capable of handling the pace and volume, but who also finds satisfaction in completion of task lists each day.

    You embrace the nuances of working in a values-driven nonprofit and communicate compassionately with colleagues and constituents.

    We balance enforcement of fiscal policies with our values, and often lean toward reteaching policies and helping colleagues and constituents to meet the financial policies over enforcing penalties, particularly through the learning phase of any new policy or system. This requires a teaching mindset, patience, and a style of communication that is not standard in finance roles.

    You are skilled at managing in all directions, and are prepared to manage one employee as well as contractors who work closely with the organization.

    This role is scoped to supervise Rockwood’s finance manager as well as to manage the relationship with our contract bookkeeper and additional contractors as needed. Beyond direct management, this role will “manage sideways” with colleagues across the organization for all things finance-related and “manage up” to the Director of Finance and Administration.
