    Position: Administrative & Operations Senior Associate

    Reports to: Practice Area Director Lead, Director of Sexual & Reproductive Health, & Operations Manager

    Status: Full-time Non-Exempt

    Start Date: March 1, 2026, or when filled

    Location: Primarily remote with the occasional need to be present in the office or travel to our other office locations.

    THE ORGANIZATION

    The National Health Law Program (NHeLP) protects and advances the health rights of low-income and underserved individuals. NHeLP engages in national, state, and local advocacy efforts, including analyses of federal and state laws, policy advocacy, litigation, continuing legal

    education, and individual technical support. We work with lawyers and advocates, community-

    based entities, federal and state policymakers, health care providers, and clients.

    THE TEAM

    As part of the Mission Coordination Team (MCT), the Administrative & Operations Senior Associate will work closely with the Director of California Policy Strategy Area (CASA) and the Director of Sexual & Reproductive Health (SRH). The Senior Associate will support the Directors, including assisting in coordination of the CA Strategy Area (CASA) and the SRH team meetings, assisting with project management needs, scheduling appointments and maintaining calendars, managing travel arrangements, processing expense reports, performing technical assistance data entry, and providing other significant administrative support to both Directors,

    The Mission Coordination Team provides essential support for implementing NHeLP’s mission, vision, and equity stance. MCT oversees day-to-day business operations across finance and budget management, legal compliance, risk management, technology, office administration, and operational support for NHeLP’s practice and strategy teams who operate remotely and also maintain offices in Los Angeles, Washington, DC, and Chapel Hill.

    The Administrative & Operations Senior Associate will also be encouraged to participate in organization-wide committees, and initiatives as part of their regular responsibilities.

    REPORTING STRUCTURE (SUPERVISION)

    Because NHeLP is a matrixed organization, this position operates under a dual supervision model that reflects its blend of programmatic and operational responsibilities:

    • Programmatic Supervision: For duties related to project coordination, program support, communications, and administrative assistance to program leadership (approximately 70% of the role), the Senior Associate works directly with and is supervised by the California Policy Director and the Director of Sexual & Reproductive Health, both of whom are part of the program's leadership team.
    • Operational Supervision: For duties related to operational processes, administrative systems, logistics, and cross-team support functions (approximately 30% of the role), the Senior Associate is supervised by the Operations Manager within the Mission Coordination Team (MCT). MCT oversight applies only to the operational aspects of the position.

    This model ensures clear guidance and feedback for the distinct programmatic and operational components of the job while supporting effective collaboration across teams.

    THE POSITION

    NHeLP seeks a driven and highly motivated Administrative & Operations Senior Associate to perform a range of high-level administrative and operational responsibilities. The position is crucial to ensuring the effectiveness of the Director of California Policy and the Director of Sexual & Reproductive Health in achieving program goals. The ideal candidate will be professional, flexible, adaptable, proactive, independent, resourceful, and able to work effectively with staff at all levels as well as external partners, sometimes under pressure and in a fast-paced environment.

    Strong organizational skills, attention to detail, effective time management, initiative, and sound judgment are essential. The position requires the ability to manage multiple projects simultaneously and to prioritize tasks effectively.

    RESPONSIBILITIES

    Administrative Support for the Director of California Policy and Director of Sexual and Reproductive Health (70%)

    • Support with calendars and scheduling internal and external meetings, including sending reminders and coordinating logistics.
    • Handle Zoom accounts, including meeting set-up and coordination with external partners. Assist with special projects such as drafting communications, preparing research, and creating PowerPoint presentations.
    • Process credit card expense logs and reimbursements.
    • Assist with timesheet administration.
    • Create charts and tables related to specific projects and networks.
    • Organize documents and folders.
    • Enter technical assistance response reports into NHeLP’s internal database.
    • Support timely communication with existing or potential funders, donors, and board members.
    • Utilize NHeLP’s project management tool to manage tasks, track progress, and contribute to timely document review and response workflows.

    Operational Support (30%)

    • Support efforts to increase operational efficiency and cross-office collaboration as part of the Operations Team.
    • Process Operations Tickets as needed.
    • Serve as a back-up for operational responsibilities.
    • Screen voicemails and direct inquiries appropriately.
    • Provide webinar and virtual event support during team presentations.
    • Provide support during in-person meetings, conferences, and retreats.
    • Perform other operational duties as assigned.

    QUALIFICATIONS

    • Associate’s degree or higher from a U.S. accredited college/university
    • A minimum of two years of experience in administrative support functions

    MUST-HAVE SKILLS & EXPERIENCES

    • Exceptional writing and editing skills, with strong attention to detail in content clarity and document formatting.
    • Demonstrated project management skills.
    • Excellent time management stills
    • Proficiency in Microsoft Office Suite or related software.
    • Basic understanding of operational systems, including cloud-based filing platforms.
    • Ability to handle sensitive and confidential information with maturity and discretion.
    • Demonstrated interest in understanding racial and other inequities and commitment to growing in equity-centered work.

    NICE TO HAVE SKILLS & EXPERIENCES

    • Previous experience working in nonprofit organizations
    • Proficient in Project Management (Asana), or related software.

    COMPENSATION

    The compensation range for this position is between $67,295.00 and $71,502.00 annually. Compensation is competitive, commensurate with experience, and aligned with internal equity.
