    Program Manager – Massachusetts Invention Convention

    POSITION SUMMARY

    Under the direction of the NextMinds CEO and in collaboration with the organization’s Director of Programs and broader program team, the Program Manager will support the planning, coordination, and execution of the Massachusetts Invention Convention and related core programming activities.

    This role is responsible for day-to-day program operations, school outreach, educator support, event logistics, and partner coordination necessary to ensure successful delivery of Massachusetts-based Invention Convention programming. The Program Manager will serve as a primary operational point of contact for participating schools, educators, volunteers, and partners in Massachusetts.

    The ideal candidate is highly organized, execution-oriented, and passionate about expanding access to hands-on, student-centered K–12 innovation and invention programming. This position focuses on reliable program delivery and relationship management, rather than organizational strategy or staff management.

    This position is full-time (40 hours per week). It is remote, with regular in-person participation required at schools and events throughout Massachusetts and occasional regional travel. Applicants must live in or be willing to relocate to Massachusetts.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Program Coordination & Operations

      • Organize and lead professional development workshops or educator trainings when appropriate, in coordination with senior program staff.
      • Coordinate and support the delivery of Massachusetts Invention Convention programming, including school-based, regional, and state-level events.
      • Manage program timelines, registration processes, and logistics to ensure smooth execution of events and activities.
      • Support judge and volunteer recruitment, onboarding, scheduling, and day-of-event coordination.
      • Assist with data tracking related to student participation, school engagement, and program outcomes.

    School & Educator Outreach

      • Lead outreach to Massachusetts schools, districts, and educators to support program awareness, registration, and participation.
      • Serve as a primary point of contact for educators, responding to questions and providing ongoing program support.
      • Support relationships with non-traditional learning environments, including afterschool programs, community organizations, and homeschool groups where applicable.

    Event & Resource Support

      • Assist in the creation, updating, and distribution of program resources and materials for educators, students, judges, and volunteers.
      • Support event logistics including venue coordination, supplies, schedules, and on-site execution.
      • Coordinate with vendors and partners supporting events (e.g., event services, materials, or technology platforms).

    Administrative & Financial Support

      • Support invoicing and tracking of program-related income (e.g., school and student registrations) in coordination with NextMinds staff.
      • Maintain organized records related to registrations, participation, and program documentation.
      • Assist with basic reporting and data compilation for internal use, funders, and annual reporting.

    Communications & Marketing Support

      • Coordinate with NextMinds staff and external marketing partners to share accurate program information and timelines.
      • Support distribution of outreach and informational materials aligned with Massachusetts programming needs.
      • Represent NextMinds and the Massachusetts Invention Convention at events, school meetings, and educational convenings as needed.

    Additional Support

      • Support broader organizational initiatives as needed, aligned with core program delivery and outreach.
      • Support grant applications and fundraising in Massachusetts.
      • Perform other duties as assigned.

    EDUCATION AND EXPERIENCE

      • Bachelor’s degree in Education or a related field required.
      • Teaching certification preferred.
      • 3–5 years of relevant experience in K–12 education, nonprofit programming, or youth-focused program coordination.
      • Experience working directly with educators, schools, or youth-serving organizations required.
      • Experience supporting events, outreach initiatives, or multi-stakeholder programs preferred.
      • Experience working with diverse communities and stakeholders required.

    COMPUTER SKILLS

      • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
      • Comfort using databases, online registration systems, and cloud-based tools.
      • Familiarity with social media and basic digital communications tools is preferred.

    LANGUAGE AND COMMUNICATION SKILLS

      • Strong written and verbal communication skills.
      • Ability to communicate clearly with educators, administrators, volunteers, partners, and families.
      • Comfortable representing the organization in professional and public-facing settings.

    PHYSICAL / MENTAL / ENVIRONMENTAL REQUIREMENTS

    Physical Requirements

      • Sitting: ~70%
      • Standing / walking: ~30%
      • Ability to lift materials or boxes weighing 10–20 lbs
      • Ability to travel to schools and event venues
      • Ability to stand and move during event days

    COMPENSATION AND CULTURE

      • Salary Range: Up to $75,000 based on experience
      • Expected hours: 40/week (flexible scheduling)
