Development Associate
POSITION SUMMARY
The Development Operations and Events Coordinator supports the daily functions that keep fundraising running smoothly. This role ensures timely fundraising entry and acknowledgement, accurate data management, organized donor communication, and strong logistical support for cultivation and fundraising events (e.g., 3v3 Tournament, Annual Golf Tournament). This position is central to building LEMO’s fundraising systems and providing the operational backbone for major donor engagement and campaigns.

Works closely with CEO, Director of Finance, and Fundraising Consultant.
KEY RESPONSIBILITIES
I. Development Operations
(Ensuring data accuracy, gift processing, portfolio coordination, and reporting)
- Gift Entry & Acknowledgment - Process all incoming gifts and contributions in the CRM (Airtable) with 100% accuracy.
- Coordinate with the Director of Finance to reconcile gifts monthly.
- Ensure all gifts are acknowledged with personalized thank-you letters within 48 hours.
- Data Management & Reporting - Maintain donor records with meticulous accuracy.
- Produce monthly reports on fundraising performance and donor trends.
- Track and maintain documentation for all grants (submissions, reports, deadlines).
- Provide updated donor lists for mailings, events, and solicitations.
- Moves Management & Prospect Research - Maintain staff and board donor portfolios in the Airtable and ensure moves management plans are current.
- Ensure all major donor communications and contact reports are documented in Airtable.
- Handle incoming data sets and ensure timely entry of new prospect information.
- Provide prospect research and guest briefing memos in advance of events and donor tours/prospect cultivation meetings.
II. Special Events Coordination
(Lead all logistics, planning, and delivery of donor events and experiences)
- Support planning and logistics for key fundraising events (Golf Tournament, 3v3, Donor Dinner, e.g.)
- Manage vendor coordination, RSVPs, and on-site logistics.
- Ensure event data (attendees, donors, sponsorships) is entered into Airtable within one week post-event.
- Assist with donor tours and small gatherings by managing invites, materials, and follow-up communication.
III. Grants & Pledge Tracking (Coordination Only)
- Maintain and update the grant and pledge tracking sheet in Airtable.
- Support reminders and documentation for reporting deadlines.
- Coordinate with Finance to confirm when funds are received.
IV. Calendar & Communication Systems
- Develop and manage the Development Department master calendar.
- Support coordination of campaign and communication timelines.
- Prepare weekly development updates and upcoming deadlines for the CEO/COO.
- Support coordination between consultants and internal staff (e.g., ensure notes, reports, and recommendations are implemented).
- Maintain organized shared drives for development documents.
- Compile simple reports and dashboards prepared from Airtable data for the CEO and consultant review
V. Grants & Pledge Tracking
- Maintain a comprehensive tracker for grant submissions, reporting, and stewardship timelines.
- Track all pledge schedules and support follow-up coordination with Finance and the CEO.
QUALIFICATIONS
Experience & Technical Skills
- 2+ years of experience in nonprofit operations, event planning, or development support
- Proficiency in CRM/database systems; experience with Airtable is a plus
- Strong skills in Google Suite (Sheets, Docs, shared Drives) and Microsoft Office (especially Excel and Word)
- Experience with donor communications and managing acknowledgments
- Demonstrated ability to collect, sort, analyze, and interpret data to support fundraising strategies

- Ability to manage multiple tasks and deadlines with strong follow-through.
- Experience planning and executing events, including vendor coordination and budget tracking
- Ability to stay flexible and adapt plans as logistics evolve

Additional Requirements

Performance will be evaluated based on accuracy, responsiveness, and consistency in managing systems and timelines.
Compensation: $68,000–$75,000 (exempt, full-time)
