    Position/Title: Entitlements Coordinator (Part-Time)

    Job Summary:

    The Entitlements Coordinator for Hope House on Crotona Park (HHCP) is responsible for managing and maintaining all aspects of client entitlements, benefits, and billing processes for residents enrolled in the Hope House a trauma-informed residential alternative-to-incarceration program for a population living with Serious Mental Illness and, in many cases, co-occurring substance use disorders. This position ensures that all eligible residents receive and maintain access to public benefits and entitlements, including but not limited to Medicaid, SSI/SSDI, and other applicable programs, in compliance with agency policies and New York State Office of Mental Health (OMH) requirements.

    The Entitlements Coordinator works collaboratively with the Program Director, clinical and residential staff, and external agencies to facilitate timely applications, renewals, and verifications. The position also supports accurate and efficient billing processes, ensuring the coordination of entitlement information with program administrative and fiscal operations.

    This is a part-time position that reports directly to the Program Director.

    Duties include, but are not limited to:

    1. Assist residents in applying for, renewing, and maintaining public entitlements such as Medicaid, SSI/SSDI, and other eligible benefits.
    2. Coordinate with external agencies, including social services departments and entitlement offices, to ensure residents’ benefits are current and active.
    3. Track and maintain entitlement status for all residents and ensure documentation is up to date in accordance with OMH and agency standards.
    4. Collaborate with the Program Director and the fiscal department to reconcile client entitlement information with billing records.
    5. Monitor and report any issues that may impact billing or client benefit eligibility, including lapses, denials, or pending applications.
    6. Educate residents on entitlement options and assist them in understanding eligibility criteria and documentation requirements.
    7. Maintain organized files, records, and databases related to entitlement applications, renewals, and billing compliance.
    8. Ensure confidentiality of all resident information in compliance with HIPAA and agency policy.
    9. Prepare and submit required entitlement reports and documentation to regulatory or funding bodies as requested.
    10. Participate in case conferences and interdisciplinary meetings as needed to support client care and program operations.
    11. Perform other duties as assigned by the Program Director or agency leadership.

    Minimum qualifications:

    1. Associate or bachelor’s degree in social work, human services, public administration, or a related field preferred; equivalent work experience will be considered.
    2. Minimum of two (2) years’ experience working with public benefits, entitlement programs, or billing in a social service, mental health, or healthcare setting.
    3. Knowledge of New York State and New York City entitlement systems, including Medicaid and SSI/SSDI.
    4. Strong organizational and administrative skills with attention to detail and accuracy.
    5. Proficiency in Microsoft Office and electronic recordkeeping systems.
    6. Excellent interpersonal and communication skills with the ability to interact effectively with clients, staff, and external agencies.
    7. Must be reliable, self-directed, and able to manage time efficiently in a part-time capacity.
    8. Commitment to the mission and values of the Hope House program and to serving justice-involved individuals with Serious Mental Illness (SMI).

    The essential functions of the job include:

    1. Managing resident entitlement applications, renewals, and records.
    2. Ensuring timely and accurate billing coordination with program administration.
    3. Maintaining confidentiality and compliance with all agency and regulatory standards.
    4. Demonstrating dependability, professionalism, and regular attendance.
    5. Supporting the mission and therapeutic community principles of Hope House and the Greenburger Center for Social and Criminal Justice, Inc.

    Salary $25,500
