    BAGLY (The Boston Alliance of Gay, Lesbian, Bisexual, Transgender, Queer Youth) is a youth-led, adult-supported social justice organization committed to creating, sustaining, and advocating for programs, policies, and services for LGBTQ+ youth. Since 1980, BAGLY has been a safe haven and vibrant hub for LGBTQ+ youth across Massachusetts—offering leadership development, affirming health and wellness programs, and resources that empower young people to thrive.

    Role Summary

    Reporting to the Director of Operations (DOO), the Facilities Manager is responsible for the day-to-day operational leadership of BAGLY’s Community Center and office infrastructure. This role ensures the organization runs smoothly, safely, and consistently—translating strategy into execution across facilities, front desk operations, volunteers, events, systems, and administrative processes.

    The Facilities Manager is both hands-on and systems-oriented, serving as the primary on-site operational lead while building, maintaining, and improving the workflows that support staff, youth, and programs.

    Location & Schedule

    • On-site at BAGLY’s Downtown Boston office
    • Schedule is flexible and to be aligned with programming and organizational needs.
    • Occasional weekends and in-state travel required
    • Valid, current driver’s license required

    Key Responsibilities

    Front Desk & Community Center Operations

    • Serve as the primary on-site operational lead at BAGLY’s Community Center.
    • Ensure all youth and visitors are greeted warmly, assessed for safety, and connected to appropriate programs, resources, or staff.
    • Oversee building access, safety protocols, and daily opening/closing procedures.
    • Respond, or delegate responses, to inquiries and requests from the public made via BAGLY's main phone line and general email addresses.
    • Ensure consistent front desk coverage and operational continuity during all hours of operation.

    Facilities, Environment & Safety

    • Maintain a clean, welcoming, and youth-affirming Community Center environment.
    • Coordinate building maintenance, repairs, and vendor relationships with minimal program disruption.
    • Monitor space usage, storage systems, and shared resources.
    • Ensure safety procedures, incident documentation, and emergency readiness protocols are consistently followed.

    Volunteer & Event Operations

    • Manage the end-to-end volunteer system, including requests, onboarding, scheduling, training coordination, communication, and retention.
    • Serve as the operational lead for events, overseeing logistics, space setup, equipment needs, and staff coordination for internal and external programs.
    • Ensure events are operationally prepared and executed smoothly.

    Systems, IT & Inventory

    • Oversee equipment, device, and supply inventory, including tracking, issuance, and maintenance coordination.
    • Provide first-line IT support for staff and escalate issues to vendors as needed.
    • Maintain operational systems and tools (e.g., scheduling, inventory, volunteer platforms) and recommend improvements.

    Administrative & Finance Support

    • Oversee daily mail handling and ensure timely bank deposits.
    • Process purchase requests, coordinate vendor orders, track deliveries, and maintain documentation.
    • Support operational data collection, reporting, and project tracking.
    • Ensure administrative processes are documented, repeatable, and compliant.

    Leadership & Continuous Improvement

    • Act as a trusted operational partner to the DOO and program staff.
    • Identify inefficiencies and propose improvements to workflows, systems, and procedures.
    • Develop and maintain operational documentation, checklists, and SOPs.
    • Support onboarding and training of staff on operational procedures.

    Other Duties

    • Perform additional responsibilities as assigned to support organizational needs.

    Physical & Work Environment Requirements

    This role is primarily on-site and involves regular movement throughout the Community Center, including standing, walking, and navigating shared spaces across multiple floors. The position requires occasional lifting and moving of supplies or equipment (generally up to 25–30 pounds), as well as providing leadership and assisting with event setup and breakdown.

    Qualifications

    Required

    • Strong alignment with BAGLY’s mission and values; demonstrated cultural competence working with LGBTQ+ youth.
    • Proven experience in operations, office management, facilities coordination, or administrative leadership.
    • Excellent organizational, time management, and problem-solving skills.
    • Ability to manage multiple priorities while maintaining calm, clear execution.
    • Strong communication skills and a welcoming, professional presence.
    • Proficiency with Google Workspace, Microsoft Office, Zoom, and general IT systems.
    • Ability to work effectively in a fast-paced, in-person environment.

    Preferred

    • Experience supervising or leading volunteers or front-line staff.
    • Familiarity with nonprofit operations and compliance.
    • Experience with or recent training in project management, especially in a nonprofit environment.
    • Experience with tools such as Asana, Slack, Building Engines or similar systems.
    • Multilingual skills.
    • Systems-thinking mindset with experience improving workflows or processes.

    Education

    Bachelor’s degree required unless significant equivalent work experience is demonstrated.

    Compensation & Benefits

    • Salary range: $65,000 - $70,000 annually. The starting salary will be determined based on the candidate’s required and preferred qualifications and level of applicable experience.
