Job Summary
The Senior Operations Coordinator supports Rising Voices by overseeing daily operational and administrative activities, including human resources, financial management, office management, event logistics, and digital workspace management. This role reports to the Operations Director. The Senior Operations Coordinator implements strategic plans and ensures the smooth functioning of organizational processes.

Office Management
- Handles all issues relating to the office space and lease. Acts as the point person for room reservations, office maintenance, mail & packages, ordering supplies, snacks & beverages, and managing equipment.
- Owns the organizational calendar, including all-staff meetings, administrative reminders, and office holidays & closures.
- Oversee the logistics for key organizational events such as staff meetings and community events, including venue bookings, catering arrangements, and logistics management.
- Coordinates annual staff retreats and other team building events with guidance from the Operations Director and Executive Director.
HR and People Operations
- Provides administrative support to the Operations Director and supervisors for the hiring, onboarding and off boarding of staff.
- Ensure all staff have the equipment, supplies, and materials they need to do their work
- Owns staff appreciation initiatives: wellness resources, somatics coaching, birthdays, anniversaries, bereavement acknowledgments, and annual holiday gifts.
- Assists with review and dissemination of organizational HR policies and procedures.
Financial and Vendor Management
- Works closely with fiscal sponsor to draft and manage contracts.
- Coordinates payments to vendors, contractors, and grantees in collaboration with the fiscal sponsor.
- Assists the fiscal sponsor in collecting receipts, W9s and other financial documents for reconciliation and recordkeeping.
General Operations
- Manages all organizational platforms (subscriptions, renewals, systems access, etc.).
- Holds regular Operations office hours to provide staff support, guidance, and operational training.
- Supports the Ops Director in maintaining strong, consistent knowledge management systems (Trello, Wiki, Airtable, etc) and practices across the organization.
- Supports the Ops Director in reviewing, creating, and maintaining best-in-class operational policies, norms, and protocols.
- Acts as a liaison between Rising Voices and the fiscal sponsor for ongoing operational needs and projects.
IT and Digital Infrastructure
- Manages staff digital accounts that are not managed by the fiscal sponsor.
- Manages organizational hardware in collaboration with the fiscal sponsor’s tech support team, including coordinating laptop purchases, repairs, and decommissioning after a staff member’s departure.
- Assists staff members in basic tech troubleshooting, and escalates to the fiscal sponsor IT team when necessary.
Physical Demands
- Occasionally required to lift and move office supplies or equipment (up to 25 pounds).
- Participation in event logistics. Event logistics may require physical tasks such as lifting and carrying materials or equipment (up to 25 pounds), setting up tables and chairs, bending or crouching to arrange supplies, standing for up to 30 minutes, and moving throughout event spaces during setup and cleanup.
- Must be able to work on a computer, including sitting at a desk for extended periods of time, with or without reasonable accommodation.
- Must be able to understand and follow oral and written instruction.
Work Environment
- The position is a full-time position that works 40 hours a week and requires periodic travel.
- This position is currently hybrid and will include remote work at home, work at onsite locations and mandatory meetings at Rising Voices’ TechTown office in Detroit, MI with moderate level of noise and interruptions.
- Rising Voices currently requires staff to be onsite one day per week. Due to the nature of this role, this position may require in-office work more than one day per week.
- This position may require some work on nights and weekends (Saturday and Sunday).
Knowledge, Skills, and Abilities:
- Exceptional organizational, administrative, and financial management skills.
- Strong communication and interpersonal skills.
- Demonstrated ability to oversee multiple priorities and manage operational logistics effectively.
- Proficiency with Google Workspace, Bill.com, Asana, and relevant operational platforms.

Required Qualifications:
- Bachelor's degree or equivalent combination of relevant experience and education.
- Minimum 2-4 years experience in operations, administrative, or related roles, ideally within nonprofit/social justice settings.
- Proven experience in financial tracking, event logistics, and vendor management.
Preferred Qualifications:
- Prior experience coordinating staff wellness initiatives or internal team events.
- Familiarity with compliance and contracting in nonprofit environments.
