Los Angeles Waterkeeper (LAW) is a dynamic environmental nonprofit organization seeking a highly motivated individual to join our team as Executive Assistant. This position will work closely under the supervision of the Operations Director and support the work of the administrative team and specifically the Executive Director. Candidates should have experience in scheduling, work planning, data management, and other administrative duties.This person will be a proactive troubleshooter with impeccable organizational skills and attention to detail.
Responsibilities:
- Calendar management for the Executive Director (ED). Prioritize requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Manage the ED’s administrative tracking such as timesheets and task management, upcoming deadlines, and status of key projects.
- Arrange for travel when necessary. Book flights, rental cars, hotels, etc. Track all travel expenses for reporting to the Operations Director.
- Manage preparation for Board meetings including scheduling, preparation of meeting materials, location and lunch arrangements when relevant, minute taking and attendance tracking.
- Prepare materials for staff and operations meetings such as agendas, reports, presentations, notes from previous meetings, and be prepared to take minutes in meetings. Keep all materials organized and archived in shared files.
- Facilitate Zoom and Teams meetings.
- Under the supervision of the Operations Director, manage all IT operations for the organization including but not limited to basic troubleshooting, procuring new equipment, acting as the primary liaison with IT consultants, managing inventory, and making recommendations for upgrades.
- Support the offboarding and onboarding of all staff and interns by setting up accounts with IT, ordering equipment, and creating and ordering business cards.
- Serve as leader in office management by maintaining inventory of office supplies and materials, keeping the supply closet organized and the office welcoming and tidy. Will also manage the building tenant portal for work orders, guest list management, visitation requests, parking validation, and common area reservations. Serve as cofloor warden for safety drills
- and ensure staff receives adequate training on all safety protocols.
- Retrieve the mail daily and be responsible for package delivery and security.
- Support organization of all-team events such as scheduling staff meetings, team trainings, team building outings, annual holiday dinners, birthdays and other celebrations.
- Provide administrative support to all departments as needed, e.g., filing, organizing meetings, arranging travel, etc.
- Support Waterkeeper events as needed including community cleanups and fundraisers. May include occasional evenings and weekends.
Qualifications & Requirements:
- Ideally have a passion for water, healthy ecosystems, resilient communities, and environmental justice
- Bachelor’s degree in related field preferred, but we encourage candidates with equivalent professional experience otherwise meeting qualifications to apply
- At least two years of administrative experience in similar role
- Skilled at project and people management including ability to oversee timelines, task lists and budgets
- Strong organizational skills and impeccable attention to detail
- Experience working in a fast-paced, nonprofit setting. Must be comfortable juggling multiple projects and adopting new skills as necessary. Flexibility is an asset as the organization grows and evolves.
- Has reliable transportation to be able to come to LAW’s DTLA office and get to events throughout LA (sometimes transporting supplies)
- Resides in LA County or near enough to commute to downtown Los Angeles three days a week.
- Familiarity with Microsoft Office suite and virtual communications such as Zoom and Teams.
- Ability to adopt new software quickly and assist with adoption across teams.
Salary, Benefits & Terms
Salary – $67,000 - $72,000 based on experience. This is a full-time, exempt position that reports to the Operations Director.
