THE ORGANIZATION:
The District of Columbia Forensic Nurse Examiners (DCFNE) is an independent nonprofit organization dedicated to providing patient-centered forensic nursing care to victims of sexual assault and domestic violence. DCFNE’s mission is to lessen the impact of violence in the District of Columbia.
POSITION SUMMARY:
Reporting to the Associate Director of Operations, the Operations Coordinator provides
day-to-day operational, financial, and administrative support to DCFNE’s leadership team. This role is responsible for executing core administrative functions, maintaining organizational systems, and ensuring accurate financial and programmatic tracking.
The position requires a high degree of discretion, attention to detail, and the ability to manage multiple priorities independently. The Operations Coordinator is expected to produce high-quality work, communicate professionally, and support cross-functional operations with minimal supervision.
POSITION’S PRIMARY RESPONSIBILITIES:
Financial Management (35%)
- Maintain and reconcile financial records, including monthly receipts and expense tracking
- Organize and manage digital and physical financial documentation
- Reconcile monthly patient billing records across partner healthcare sites
- Prepare and validate biweekly payroll support reports (hours tracking and documentation)
Operations and Compliance (25%)
- Maintain administrative and operational systems to support organizational compliance and workflow tracking
- Ensure administrative adherence to applicable federal, local, and business regulations
- Provide direct administrative support to director-level staff
- Draft professional correspondence and prepare internal documents
- Manage office operations, including supplies, equipment, and vendor coordination
- Coordinate travel logistics and approved organizational purchases
- Support HR administrative processes (onboarding documentation, compliance tracking)
- Support grant development by data gathering, formatting, and copy editing.
Patient Services Support (20%)
- Coordinate Crime Victims Compensation Program (CVCP) workflows, including document retrieval and management, application tracking and invoicing
- Monitor and document CVCP application and invoice statuses
- Conduct courthouse visits to verify protection order status, as needed
- Maintain secure and organized archival patient data in accordance with confidentiality standards
- Support data validation for internal and external reporting
Staff and Organizational Support (10%)
- Coordinate scheduling, meetings and organizational deadlines
- Prepare materials, attend meetings, and document minutes
- Draft and distribute weekly staff communications
- Support recruitment logistics, including interview scheduling
- Assist with outreach and organizational events in the Washington, DC Metropolitan Area
Development and External Engagement (10%)
- Track and document donations and donor activity
- Research and monitor funding opportunities
- Support grant applications and reporting (writing, editing, data support)
- Participate in relevant nonprofit and community engagement opportunities
- Support campaign execution in coordination with the Outreach team (timelines, materials, tracking)
REQUIRED QUALIFICATIONS:
- Bachelor’s degree or equivalent work experience
- Minimum 1-year of administrative or operations experience (nonprofit or healthcare, preferred)
- Proficiency in Microsoft Office Suite, QuickBooks, and Adobe Acrobat
- Experience handling sensitive or confidential information
REQUIRED SKILLS/ABILITIES:
- Exceptional organizational and time management skills with high attention to detail
- Ability to manage multiple priorities and meet deadlines with minimal supervision
- Strong written and verbal communication skills
- Ability to work independently and collaboratively in a fast-paced environment
- Ability to travel within the Washington, DC metropolitan area (reliable transportation required)
- Demonstrated interest in supporting survivors of violence and mission-driven work
SCHEDULE AND HOURS:
This is a full-time (36 hours/week) Fair Labor Standards Act (FLSA) exempt, at-will employment position. This is a hybrid role requiring a minimum of 32 hours per month in-office work, in accordance with DCFNE policy attendance ( subject to change based on organizational needs).
Core office hours are Monday through Thursday 9:00 am to 5:00 pm, and 4 hours on Friday, excluding Federal and DC Government Holidays. Work schedules should align primarily with core hours, with some flexibility permitted based on operational needs and supervisor approval. Occasional evening or weekend work may be required to support organizational events or activities.
PAY AND BENEFITS:
The salary range for this position is $50,000 to $70,000 commensurate with experience and qualifications.

DCFNE offers a comprehensive leave package starting at 144 hours of PTO, with additional PTO awarded based on years of service, along with 13 paid holidays, one floating holiday, and paid office closures during the week between Christmas and New Year’s Day to support rest and balance.
