Executive Assistant / Project Manager
Position Summary
The Executive Assistant / Project Manager provides high-level administrative, operational, and project management support to executive leadership. This role is responsible for managing day-to-day executive functions, coordinating cross-functional projects, improving organizational workflows, and ensuring timely execution of strategic initiatives. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Provide direct administrative support to executive leadership, including calendar management, scheduling, travel coordination, and meeting preparation.
- Manage communications, correspondence, and follow-up on action items.
- Prepare reports, presentations, agendas, and meeting materials.
- Coordinate and facilitate internal and external meetings, including documenting minutes and tracking deliverables.
- Maintain confidentiality and exercise discretion in handling sensitive information.
Project Management
- Lead and coordinate organizational projects from planning through implementation.
- Develop project timelines, track milestones, and ensure deliverables are completed on schedule.
- Collaborate with internal teams, partners, and stakeholders to support strategic initiatives.
- Monitor project progress, identify risks, and recommend solutions to improve efficiency and outcomes.
- Support grant, program, and operational reporting requirements as needed.
Operations & Organizational Support
- Assist in developing and improving operational systems, processes, and workflows.
- Support organizational planning, special initiatives, and event coordination.
- Maintain accurate records, files, and project documentation.
- Help streamline communication and coordination across departments.
- Support training, onboarding, and administrative processes as assigned.
Qualifications
- Bachelor’s degree in Business Administration, Public Administration, Healthcare Administration, Project Management, or a related field preferred.
- Minimum of 3–5 years of experience in executive support, project coordination, or operations management.
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, Google Workspace, Slack, Zoom, and project management platforms.
- Ability to work independently, prioritize competing demands, and meet deadlines.
- Experience in nonprofit, healthcare, behavioral health, or community-based organizations preferred.
Preferred Skills
- Project management certification or experience managing cross-functional initiatives.
- Knowledge of grant-funded programs and reporting processes.
- Experience supporting executive leadership and board-level communications.
- Strong problem-solving and process improvement skills.
Work Environment
- Remote work environment.
- Occasional evening or weekend availability may be required for meetings or special projects.
