    Job Summary

    Day One seeks a detail-oriented and energetic People & Operations Associate to join our Administration Team on a part-time basis. This collaborative role works closely with and reports to the Director of People and Operations to oversee the essential functions that keep our organization running effectively. The Associate is critical to managing our administrative backbone, spanning day-to-day office operations, finance administration, technical support coordination, and human resources activities. You won't just be processing paperwork; you’ll be the engine of our day-to-day work, collaborating on essential functions that include:

    • People: Supporting HR processes, staff development, and maintaining personnel data.
    • Operations: Overseeing office management, vendor relations, and ensuring smooth daily function.
    • Finance & Tech: Assisting with administrative finance tasks and coordinating technical support needs.

    About Day One

    Since 2003, Day One has devoted its full resources to preventing intimate partner and sexual violence (IPSV) among young people. Day One partners with New York City youth to end IPSV through a combination of preventive and direct services. Our multi-disciplinary approach brings together a highly collaborative staff with expertise in legal and social services, prevention education, and youth leadership development. Serving New York City youth up to 24 years of age, our mission is to put an end to gender based violence.

    Key Responsibilities include, but are not limited to:

    Human Resources (HR) Support

    • Recruitment, Onboarding & Offboarding:
      • Assist with the full-cycle recruitment process, including posting job openings, screening resumes, scheduling interviews, and coordinating background checks.
      • Co-design and co-facilitate all employee, intern, and volunteer orientations and the onboarding process.
      • Assist with preparing new hire paperwork and conducting compliance checks throughout the employee life cycle, ensuring that all employee payroll, benefits, workspace, and technology needs are addressed.
      • Offboard employees, interns, and volunteers from all platforms and conduct exit interviews
      • Supervise and recruit People and Operations interns
      • Maintain and update employee files to ensure all personnel records are accurate, complete, and compliant with relevant regulations.
    • HR Administration & Compliance:
      • Process and track HR-related documentation, including status changes, performance reviews, and termination paperwork.
      • Maintain data accuracy in the Human Resources Information System (HRIS) and other internal databases.
      • Assist with benefits administration, including new enrollment, changes, and answering basic employee questions.
      • Provide support for payroll preparation, including reviewing and verifying time/attendance data, and assist with full-cycle payroll processing.
    • Employee Relations & Engagement:
      • Serve as the first point of contact for routine employee inquiries regarding HR policies, procedures, and benefits.
      • Assist with planning and execution of internal employee engagement activities; Co-chair the Good Times Committee (GTC) in the planning and coordination of company events.

    Operations & Administrative Support

    • Office Management:
      • Manage general office operations, including ordering and maintaining office supplies and equipment, as well as fulfilling supply requests for programs, and developing and managing vendor relationships.
      • Liaise with building management as needed and manage the upkeep and maintenance of facility operations.
    • Administrative & Reporting:
      • Provide high-level administrative support to the leadership team, including scheduling meetings, managing calendars, and preparing presentations or reports as needed.
      • Handle general business correspondence, filing, and record-keeping for the operations department.
      • Assist in inventory tracking, credit card expense reconciliation, and supporting accounting team functions.
      • Processing certificates of insurance (COI) requests and other ad hoc projects as needed.
    • Process Improvement:
      • Identify opportunities to streamline HR and administrative processes to improve efficiency and workflow.

    Qualifications:

    The ideal candidate will have prior experience providing support and operational assistance in an office setting. Strong oral and written communication skills are required, and proficiency with Google Suite and MS Office applications is essential.

    • Education:
      • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
      • Experience:1–3 years of experience in an administrative, HR, or Operations support role.
    • Skills & Competencies:
      • Exceptional organizational and time management skills with a strong attention to detail.
      • Excellent written and verbal communication and interpersonal skills.
      • Proficiency in Google Suite and Microsoft Word, Excel, and PowerPoint, as well as experience with Salesforce and an HRIS (e.g., Stratus Time), is a plus.
      • Demonstrated ability to handle sensitive and confidential information with discretion.
      • Proactive, self-starter with the ability to work independently and in a collaborative setting who can manage multiple priorities and projects simultaneously.
      • Basic knowledge of labor laws and HR best practices preferred.
      • Experience with Expensify is a plus

    Salary and Benefits:
