    Organizational Overview:

    CASA-NYC is a volunteer-based, not-for-profit organization that provides advocacy for children and youth in New York City foster care. Our mission is to ensure that young people involved in the NYC child welfare system have their needs met and rights protected and that children in foster care are moved quickly into safe, stable, nurturing and permanent homes—with their families of origin whenever possible.The children, youth and families we serve have been impacted by intergenerational trauma, structural racism and chronic poverty. We are actively working to fully integrate trauma-informed, anti-racist principles into our work. We partner with family members and their allies to support them in overcoming barriers to safety, stability and family reunification and achieving equitable outcomes.

    Position Description:

    The Development & Special Events Coordinator reports to the Chief Development Officer and supports fundraising efforts for the organization as a member of the Development and Communications team. The coordinator’s role encompasses administrative responsibilities in order to ensure efficient cultivation and stewardship of current donors and outreach to potential donors. The role also involves the planning and implementation of fundraising, cultivation, and other events. The position is based in Manhattan and is a hybrid work schedule (2-3 days in office) with the expectation that additional days may be required due to deadlines and events.

    RESPONSIBILITIES:

    • Organize and support the planning and execution of two annual fundraising events, in collaboration with the chief development officer and with assistance from other team members. Tasks include maintaining and driving event timelines, updating weekly committee agendas, liaising with venue reps and vendors, and collecting RSVPs and other data, among other tasks.
    • Plan and execute cultivation and smaller fundraising events, as well as campaigns, including Associate Board events, holiday party, volunteer appreciation event, Marathon campaigns.
    • Serve as the team’s administrative support by recording and reporting data, which is key to improving and expanding donor and prospect relations.
    • Process charitable gifts on a regular basis, following institutional policies and coordinating with relevant contacts to ensure gifts are all coded correctly and reconciled with the finance team.
    • Lead and execute the gift acknowledgement process including drafting letter copy, pulling reports to determine which gifts need to be acknowledged, completing mail merges to prepare letters and envelopes, and coordinating the approval processes.
    • Serve as the database administrator for the fundraising CRM used by CASA-NYC (currently DonorPerfect) and prepare regular reports of fundraising and Board-related activities for the chief development officer and chief executive officer.
    • Provide administrative support to CASA-NYC’s various fundraising
    • related volunteer groups including the Board of Directors, Associate Board, and Leadership Council as requested, including attending occasional evening meetings and events.
    • Provide assistance with periodic communications, including writing and designing simple eblasts and invitations, as well as managing related mailing lists.
    • Assist with preparation for board meetings and funder meetings.
    • Assist with other tasks as assigned.

    QUALIFICATIONS:

    • Bachelor’s degree in a relevant field, and minimum of 2-3 years of relevant experience
    • Meticulous attention to detail
    • Excellent writing and communication skills
    • Strong time management skills and ability to establish priorities and meet deadlines
    • Strong computer literacy required (e.g., spreadsheets, documents). Experience with a fundraising CRM is a plus (e.g., DonorPerfect), as well as email platforms (e.g., Constant Contact), project management (e.g., Notion), and graphic design programs (e.g, Canva).
    • Ability to communicate professionally with members of the public, Board of Directors, Associate Board, and stakeholders
    • Highly organized, detail-oriented, and reliable

    • Ability to take constructive feedback, work proactively to meet deadlines, and flexibility to adapt to shifting priorities
    • Ability to work evenings for meetings and events as needed – pre-approved hours worked outside of normal business hours will be eligible for flex time.
