    Why your role matters

    As Cinereach's Executive Assistant to the CEO, you will support the CEO in building and maintaining strategic infrastructure that enables the organization to operate at the forefront of the unique intersection of entertainment, philanthropy, and impact-investing. You'll enable the CEO to efficiently bolster our business by providing operational excellence and strategic, personalized, and timely support.

    This is a new role, complementing our existing Executive Assistant who supports the Leadership Team (LT). The EA to the CEO focused specifically on CEO and board-facing priorities. The two EA roles will collaborate closely to ensure seamless information flow and coordination across leadership.

    How you will spend your time

    • Strategic Calendar Management: Implement proactive calendar management systems that protect the CEO's time and align scheduling with strategic priorities. Coordinate travel, including but not limited to conferences, meetings, and special events.
    • Meeting Preparation and Follow Up: Develop standardized processes for preparing comprehensive meeting materials, tracking priority action items while deprioritizing or delegating less important action items, and preparing and revising correspondence, follow-up tasks, and other documents and presentations, as necessary.
    • Task Prioritization: Develop systems to organize the CEO’s workload by urgency and ensure follow-through on commitments. Assist with daily administrative duties to free up CEO’s time.
    • Information Management: Develop more structured approaches to organizing, retrieving, and distributing critical information. Act as the central point of contact and disseminate information between the Board, the CEO and the Leadership Team.
    • Board Liaising: Interface with and provide general support to the Board pertaining to org-facing incentives and strategic priorities. Coordinate Board meeting and governance calendars, reminders for meetings and events, agendas, reports, and special mailings. Manage Board-related tools and systems, supporting bylaws and other necessary documentation that ensure good governance and keep the Board informed on behalf of the CEO and broader organization. Coordinate Board travel and reimbursements as necessary.
    • Project Management and CRM: Manage project management and CRM system activities on behalf of the CEO ensuring key relationships, commitments, and initiatives are logged, up to date, and moving forward. This includes maintaining pipeline records, tracking follow up actions, and surfacing timely reminders to the CEO.
    • Collaboration with Operations Team and EA: Collaboration with the operations team especially with the EA to the LT to ensure aligned, non duplicative support across the Leadership Team. Coordinate handoffs, share relevant context, and maintain communication rhythms that keep the CEO and LT well supported.
    • Implementation of Cinereach's Objectives: Build deep understanding of Cinereach's strategic goals and objectives to provide highly relevant and additive insights to work outcomes.
    • May serve on special projects, committees, or act as representative of the organization as necessary.
    • Travel may be required up to approximately 4 times/year.

    What you bring to the table

    • Executive assistant / executive support / project management experience is required.
    • Experience providing administrative and good governance support to Boards.
    • Demonstrated track record of excellent organization, project management, time management, and self-motivation.
    • Ability to work in a fluctuating environment with keen social and interpersonal skills in order to build and maintain strong internal and external relationships.
    • Excellent verbal and demonstrated written communication skills.
    • Technical proficiency including with but not limited to Google Workspace, project management tools, and database / CRM systems.
    • Comfortable working in a remote environment and liaising with a team in various locations throughout the U.S.
    • Comfortable support C-suite executives for calendaring, coordination, and strategic follow through.
    • Demonstrated ability to take initiative, anticipate needs and exercise independent, sound judgment and adapt to changing situations and priorities.
    • Experience exercising discretion and integrity while dealing with sensitive and confidential information

    What success looks like

    • CEO’s calendar remains manageable and priorities clear.
    • Action items move consistently forward through structured means and follow-up.
    • Clear intake protocols are established and functioning—requests are appropriately triaged and delegated.
    • Last-minute CEO and/or Board requests get handled quickly without creating bottlenecks elsewhere.
    • High-functioning Board with clear systems and communications, a proactively-managed shared calendar, and consistently-achieved annual goals.
    • CEO meetings run smoothly—agendas are prepared, notes are comprehensive, and follow-ups happen without prompting.
    • CRM and project management systems reflect accurate, current information on CEO’s key relationships and initiatives.
    • Collaboration with the EA to the Leadership Team and operations team is seamless, information flows between leadership and team without duplication or gaps.
    • Friction points are proactively identified in organizational workflows involving CEO and/or Board and solutions are proposed before problems escalate.

    What we offer

    • Salary Range $75,000 - $90,000 depending on experience
