ArtsWestchester seeks a hands-on and experienced Associate Director of Operations to oversee the day-to-day operations of our nine-story historic bank building in downtown White Plains. They join the team at an exciting moment for the organization as it enters a new chapter in its leadership, and prepares to embark on a new $11M capital improvement project. The Associate Director of Operations will manage the realization of this capital plan to rehabilitate and expand the property. (Additional core components of the plan include the replacing 200+ of the building’s original window and installation of a new security system.)
The premises consists of the Grand Banking room, a two-story flexible art space with a commercial kitchen; ArtsWestchester’s administrative offices; five floors of tenant rental spaces (artist studios and offices for small creative businesses); and an additional multi-use space and kitchen.
Reporting to the Director Finance & Operations, the successful candidate will be a hands-on and participative manager. They will play a critical role in partnering with the senior leadership in strategic decision making for the expansion project and ongoing operations as ArtsWestchester continues to enhance its quality programming and build capacity.
Job Responsibilities:
Manage day-to-day operations of facilities, including all mechanical systems, rental units, event spaces with an eye to compliance, safety and risk management.
Assist the CEO and the Director of Finance & Operations with managing capital projects, including obtaining bids, contract negotiation, oversight of vendors, and coordination of on-site work schedules, permits, etc.
Manage existing operations staff of one, cleaning service, building contractors and other ongoing vendor relationships.
Track schedules and logs for inspections, cleaning, and maintenance of the building.
Attend Building Committee meetings.
Manage facilities systems and procedures, including being on-call 24 hours for emergency issues.
Ensure the organization’s compliance with the City of White Plains and Fire Department regulations.
Coordinate with other departments and provide operational oversight for special events/rental needs
Assist with event set up/breakdown.
Maintain tenant relationships; assist and track tenants facility requests.
Identify priorities and opportunities for building maintenance and future capital investment.
Support back-office and organization-wide training programs, reinforcing tech and operations infrastructure between departments to ensure consistency and quality standards are met.
Stay up to date on industry regulations, trends, and technology.
Work closely with management team to ensure all operational, administrative, and compliance functions within the organization are being properly executed in accordance to regulatory-based best practices
Address operational concerns and issues, monitor overall public, tenant and staff satisfaction
Identify training needs/requirements for both staff and tenants
Qualifications / Skills:
Proven experience in building and or facilities management
Technical understanding of established practices and procedures for operating and trouble-shooting building mechanicals, including HVAC, elevators, plumbing, fire safety, etc. Knowledge of a building monitoring systems a plus
Trained in OSHA procedures and bucket lift operations
Experience in developing and implementing budgets
Thorough knowledge of Microsoft Office
Good interpersonal skills, oral and written communication skills including demonstrating the ability to collaborate with others
Valid Driver’s license with good driving record
This role will require the individual to occasionally bend, kneel, and/or climb. The individual must have the ability to lift, carry or push/pull materials of up to 50 lbs. and occasionally heavier.
Preferred skills and experience:
Conversational Spanish
Experience in construction project management
Experience in DASNY and/or other NYS Agency Grant reporting
Experience working in Arts & Culture sector
Westchester resident a plus
Compensation, Schedule and Benefits:
Salary Range: $70,000 - $80,000*
Full-time position, hours vary, occasional weekends and evenings required
