    Position Summary

    The Executive Assistant will provide high-level administrative, operational, and strategic support to the Executive Director and/or Executive Vice President. This position requires exceptional organizational abilities, professionalism, discretion, and the capacity to manage multiple priorities in a fast-paced, mission-focused setting.

    The Executive Assistant will ensure seamless day-to-day operations, manage complex scheduling needs, facilitate internal and external communications, support key engagements, and coordinate tasks essential to the organization’s efficiency and growth. The role requires someone who can anticipate needs, adapt quickly, and represent the executive office with accuracy and integrity.

    Key Duties and Responsibilities

    • Oversee and manage the executive’s calendar, including scheduling meetings, coordinating travel, and organizing high-level engagements.
    • Screen, prioritize, and respond to incoming communications, including email, phone calls, and requests from internal and external stakeholders.
    • Prepare, edit, and format correspondence, reports, presentations, and official documents.
    • Provide logistical support for staff meetings, board sessions, donor engagements, and special events.
    • Coordinate meeting logistics, including agenda development, document distribution, and the recording and dissemination of meeting notes.
    • Serve as a trusted liaison for stakeholders, handling inquiries with professionalism, accuracy, and discretion.
    • Collaborate across departments to streamline workflows, strengthen administrative efficiency, and improve organizational systems.
    • Support record-keeping and document management processes, ensuring that files, archives, and governance records are properly maintained.
    • Handle sensitive and confidential information in accordance with nonprofit governance and compliance standards.
    • Assist with project coordination and administrative tasks that support strategic initiatives and executive priorities.

    Qualifications and Experience

    Required

    • Previous experience as an Executive Assistant or Administrative Assistant supporting senior leadership.
    • Exceptional organization, communication, and time-management skills.
    • Demonstrated ability to navigate shifting priorities in a fast-paced environment.
    • High degree of professionalism, discretion, and sound judgment.
    • Proficiency with Microsoft Office Suite or Google Workspace.

    Preferred

    • Familiarity with nonprofit operations, donor relations, or philanthropic environments.
    • Experience using collaboration tools such as Slack, MS Teams, Trello, Asana, or Confluence.
    • Ability to support board engagement and executive-level communications.

    Working Conditions

    This is a full-time, remote position within a dynamic virtual work environment that resembles a modern start-up. The role requires flexibility, creativity, and a strong commitment to the mission. Evening availability or occasional travel may be required to support meetings, events, or executive engagements.
