The Secretary is an officer of the board of a registered non-profit society. Celiac Edmonton is a Chapter of Celiac Canada, dedicated to providing service and support to persons with celiac disease, dermatitis herpetiformis and gluten intolerance, through awareness, education, events and research support. The Chapter hosts a number of events annually, with a focus on supporting people newly diagnosed with celiac disease, raising awareness of celiac disease and the challenges of a gluten-free lifestyle, family, community and all-ages events, as well as fundraising.
All board positions are two-year terms. Board members can run for multiple terms, with no term limits. Board members must be a member of the Canadian Celiac Association Edmonton Chapter (Celiac Edmonton), however, do not need to be celiac or suffer from any other gluten-related disorder.
The Secretary works with the board as a whole to manage Celiac Edmonton affairs with a time commitment of up to 20 hours per month. All board positions are two-year terms. Board members can run for multiple terms, with no term limits.
The Secretary is responsible for:
- Preparing agendas for all meetings of the Society and of the Board.
- Work in collaboration with the President to develop meeting agendas.
- Coordinate with board members and committee chairpersons, in a timely manner, to gather relevant reports and meeting materials.
- Develop the agenda and relevant meeting materials for the annual general meeting (AGM).
- Circulate the agenda, minutes of previous meetings and other meeting materials to the board in a reasonable time prior to the next meeting.
- Keeping accurate minutes of these meetings.
- Take the accurate minutes during meetings of the Society and of the board.
- Take the accurate minutes during the AGM.
- File all minutes in an appropriate format and location, so that they may be accessed and referred to as needed.
- Maintaining general correspondence and related file information.
- File all meeting materials on Google Drive.
- Maintain relevant board and committee files (e.g., confidentiality agreement forms, board contact lists) on Google Drive, as appropriate, using best practices.
- Manage relevant materials from all electronic votes (e-votes), in the same manner as regular board meetings.
- Carrying out other duties as assigned by the Board.
- Participate on, or chair at least one committee of the Board.
- Attend and/or chair additional committees of the board as time and interest allow.
- Volunteer for and/or attend events hosted by Celiac Edmonton (i.e. May Awareness, Pancake Breakfast, Ride Walk Run, Community Christmas Party, others).
