    ROLE TITLE: Finance Manager

    REPORTS TO: Chief Executive Officer/Chief Financial Officer

    SUPERVISES: Financial & Accounting Officers and Finance Team

    LOCATION: Remote/Olympia, Washington State

    LEVEL/SALARY: Volunteer (with pathway to paid role)

    DESIRED HOURS: Monday through Saturday, Part-time Flexible Hours, 10am-2pm PST

    ORGANIZATION DESCRIPTION: C.A.R.E. Wellness Center & Services

    C.A.R.E. Wellness Center is a 501(c)3 nonprofit charity with a mission of providing a safe farm stay, holistic retreat, and wellness programs for BIPOC community and allies for equality. Its programs are focused on persons of color and work with vulnerable populations such as BIPOC with justice-involvement, foster youth, and those suffering mental health challenges. The person in this role must be sensitive to these populations and center their duties on wellness.

    Our Mission is to provide a safe farm stay, holistic retreat, and wellness programs for black, indigenous, people of color and allies, to recover from Post-Traumatic Slave Syndrome via Spirituality, AgroTourism, and Racial Justice.

    Our Vision is Connectivity: to Nature; to God; and to Self. Our goal of acquiring farmland is to establish a safe spiritual retreat for people of color to escape constant trauma and begin repairing their fractured foundation and realize self-actualization. Our programs are a research community project with a goal of empowering others to heal from PTSS.

    The Founder, Chair, and CEO is a woman of color, Pansexual, and person with disabilities fully committed to the growth of both C.A.R.E. Wellness Center (nonprofit) and C.A.R.E. Family Services, LLC (for-profit), also doing direct services for children and youth. We highly encourage an ethical, organized, and ambitious student or seasoned professional to help support the foundation of this new and unique nonprofit for the community. This is a home-based office welcoming volunteers, guests, and visitors for meetings while fundraising for farmland to headquarter wellness programs.

    JOB SUMMARY:

    C.A.R.E. Wellness Center seeks an experienced Finance Manager to lead the daily operations of our finance department and supervise the Finance & Accounting Officers. This role partners closely with our contracted Bookkeeper (Waveapps.com), HR Payroll Specialist, and Grant Writer to ensure strong financial systems and help raise the funding needed to launch our Wellness Center programs.

    The Finance Manager will oversee financial planning, reporting, and compliance while supporting the CEO and Board of Directors with analysis, forecasting, and the development of internal controls. This is a volunteer role that may transition into a paid position upon securing program and operating funds. Remote opportunities available for Washington State residents.

    ROLE DESCRIPTION:

    We are looking for a detail‑oriented, mission‑driven Finance Manager with a background in nonprofit finance, accounting, or financial operations. The ideal candidate is highly organized, proactive, collaborative, and passionate about building sustainable financial systems to support wellness, land acquisition, program launch, and community growth.

    This role includes supervising Finance Officers and coordinating financial operations across multiple funding streams including grants, donations, program revenue, sponsorships, contracts, and earned income.

    RESPONSIBILITIES:

    Financial Leadership & Department Oversight

    • Supervise Finance & Accounting Officers, delegating tasks, reviewing work, and providing coaching.
    • Maintain and improve internal controls, accounting procedures, and financial workflows.
    • Coordinate with the Bookkeeper on weekly and monthly reconciliation and reporting.
    • Support the CEO and Board regarding financial planning, development, and compliance.

    Financial Record‑Keeping (Waveapps.com + internal systems)

    • Oversee accurate data entry and ledger maintenance in Wave.
    • Ensure transactions are categorized correctly (donations, grants, revenue, expenses).
    • Maintain digital financial documentation and organized archives.

    Budgeting & Forecasting

    • Lead development of annual organizational budgets.
    • Create program‑specific budgets for Wellness Programs, Workshops, Retreats, and Grants.
    • Perform monthly variance tracking and analysis.

    Grant & Funding Financial Support

    • Partner with the Grant Writer to prepare budgets, financial attachments, and narratives.
    • Track restricted vs. unrestricted funding and ensure grant compliance.
    • Prepare financial reports for grantors, partners, and institutional funders.

    Financial Reporting

    • Prepare monthly financial reports for the CEO, Programs Director, and Board.
    • Create dashboards/tracking tools for revenue, fundraising, grants, and expenses.
    • Assist in quarterly and annual reporting for compliance and strategic planning.

    Audit & Compliance

    • Support annual audit preparation and liaise with external auditors.
    • Ensure adherence to GAAP and nonprofit accounting standards.
    • Maintain compliance with federal, state, and local nonprofit regulations.

    Collaboration With Key Staff

    • Bookkeeper (Waveapps.com): Monthly reconciliation, chart‑of‑accounts management, and reporting.
    • HR Payroll Specialist: Employee/contractor payroll allocation, payroll reporting, and compliance.
    • Grant Writer: Budget creation, data tracking, funder reporting, and revenue strategy.
    • Executive Team: Support fundraising, donor stewardship, community engagement, and event budgeting.

    Essential Functions

    • Excellent written and verbal communication.
    • Ability to prepare financial documents, spreadsheets, policies, and reports.
    • Strong organizational skills and ability to manage multiple deadlines.
    • Supervising volunteers and finance staff.
    • Supporting the Annual Work Plan, Executive Calendar, and program development.

    ESSENTIAL FUNCTIONS:

    • Excellent oral, text and written skills
    • Preparing documentation and reports for the Finance Team
    • Organizing financial files, resources, and statements
    • Implementing the Finance Team’s budget items according to the Annual Work Plan
    • Assisting in the planning and overseeing significant financial events
    • Collaborating with Grant Writers, Community Partners, and Board Treasurer
    • Managing Finance Manual updates and edits

    • Microsoft Office Suite
    • Notion (CRM + internal systems)
    • Slack & Yodel

    WORK CONDITIONS & PHYSICAL REQUIREMENTS:

    This position is primarily remote with some planned in‑person meetings, events, and quarterly programming sessions. Minimal bending, stooping, sitting, or kneeling required. May involve long periods of standing and exposure to plants, animals, scents, or nuts. Occasional local travel required.

    QUALIFICATIONS:

    • Experience in finance, accounting, bookkeeping, or nonprofit financial management.
    • Familiarity with Waveapps.com or similar accounting software.
    • Excellent organizational, analytical, and communication skills.
    • Understanding of nonprofit finance, grants, and compliance preferred.
    • Experience supervising staff or volunteers is helpful.
    • Must pass a background check and sign privacy/confidentiality agreements.
